Reports to: Head of School Position Overview The Operations Manager is a key member of the school’s leadership team, responsible for tasks related to finance, human resources and general management of North Bridge Academy. The ideal candidate is an organized and efficient professional with bookkeeping experience, who enjoys working collaboratively with students, parents, staff, and board members in a kind and supportive environment. The Operations Manager collaborates with the Head of School, Executive Director, Board Treasurer, and Finance Committee to ensure HR compliance, fiscal transparency, and sustainability in all business operations. This is a full-time, year-round position that requires candidates to be available on site. While the school operates on an academic calendar, the Operations Manager plays a particularly critical role during the summer months to ensure smooth preparation for the next school year. The target start date for this position is May 1st, 2026.
Core Responsibilities by Department
I. Business/Finance Daily/Weekly/Monthly
● Monitor accounts payable and receivable; approve and process invoices.
● Respond to parent billing questions via Bill.com.
● Record and track reimbursements, petty cash, and credit card expenses.
● Run payroll in Gusto (15th and 30th of each month) and review payroll journals.
● Invoice families in bill.com for tuition, transportation, afterschool activities and special events
● Track expenses compared to annual budget
II. Human Resources
● Point of contact for staff HR inquiries (payroll, benefits, leave, policies)
● Process PTO and sick leave requests under California labor law
● Ensure compliance with HR policies and employment regulations
● Manage onboarding and offboarding documentation
● Review staff attendance and PTO reports
● Maintain employee records and HRIS confidentiality
● Coordinate benefits changes (new hires, qualifying events)
Seasonal / Annual
● Start of School Year (Aug): File new hire/returning agreements, coordinate open enrollment, verify TB tests, LiveScan, and certifications
● Mid-Year (Dec–Jan): Conduct compliance and benefit check-ins; support review cycles
● End of School Year (March): Confirm contracts for renewal/non-renewal
● Summer (Jun–Aug): Update Employee Handbook, enter agreements/new pay rates in Gusto, process summer payroll, finalize HR compliance for new year
Key Competencies
● Minimum of 2 years bookkeeping experience
● Proficiency in QuickBooks Online and Microsoft Excel
● Knowledge of California employment law and HR best practices
● Experience in managing a small operations team
● Excellent organizational and communication skills
● Ability to manage confidential information with discretion
● Collaborative leadership style with attention to detail
● Commitment to inclusivity and respect in a diverse community
Preferred Qualifications
● Independent school or nonprofit experience
● Knowledge of Gusto payroll or another online payroll system
● Bilingual in Spanish and English.
Reporting & Collaboration
● Reports directly to the Head of School
● Supervises Front Office Receptionist and Transportation/Facilities Coordinator
● Collaborates with:
○ Board Treasurer and Finance Committee
○ External consultants (Silvers HR, TL Squared, PB Retire, auditors)
○ Parents for billing and tuition matters
○ Faculty and staff for HR/payroll issues
Physical Requirements
● Ability to lift/carry packages up to 25 lbs.
● Ability to walk, stand, and perform office tasks throughout the day.
● Manual dexterity for computer/office equipment use.
● Ability to read screens/documents and hear/understand normal speech.
Work Authorization Requirements
● Clear DOJ & FBI background check (LiveScan)
● Authorized to work in the U.S. (I-9)
● Provide TB clearance (updated every four years)

● Flexibility to work outside typical hours to meet deadlines
Compensation: Salary is $86,000 annually.
