The Opportunity
We are looking for an experienced, proactive, and highly organized Executive Assistant to serve as the CEO's right hand and provide administrative support across the executive team as needed. This person will create order and calm around schedules, communication, travel, expenses, invoices, meetings, and day-to-day business logistics so the leadership team can stay focused on building the company.
This is a business-support role. The core responsibility is executive and company administration—not primarily personal errands.
What You Will Own • Executive Support
• Own the CEO's calendar, scheduling, meeting preparation, and daily priorities.
• Anticipate conflicts, surface tradeoffs, and proactively resolve scheduling issues.
• Coordinate meetings across multiple time zones and keep the right people informed.
• Prepare agendas, capture action items when needed, and follow through until commitments are closed.
• Screen incoming requests and help protect the CEO's time.
• Handle confidential information with discretion and sound judgment.
Travel, Meetings, and Logistics
• Book and manage domestic and international travel for the CEO and selected executives.
• Maintain accurate itineraries, confirmations, ground transportation, and travel details.
• Coordinate meeting, event, offsite, and executive logistics.
• Anticipate practical details that could create friction or delay.
Business Administration
• Track invoices, vendor payments, and bill-payment schedules.
• Process expense reports and reimbursements.
• Maintain organized records, files, contracts, and key business documents.
• Follow up on outstanding administrative tasks and deadlines.
• Coordinate with vendors, partners, and internal team members.
Communication and Follow-Through
• Manage incoming requests and ensure timely follow-up.
• Ask thoughtful questions when priorities or next steps are unclear.
• Communicate clearly and concisely without creating unnecessary complexity.
• Make sure important details do not fall through the cracks.
• Give the CEO and executive team early visibility into risks, delays, and decisions needed.

Ideal Experience
• Approximately 3–7 years of progressively responsible executive-support experience; direct CEO, founder, president, or C-suite support is strongly preferred.
• Demonstrated ownership of complex calendars, travel, meeting logistics, and competing priorities.
• Hands-on experience with expenses, reimbursements, invoices, vendors, records, and confidential business documents.
• Startup, media, entertainment, production, technology, automotive, agency, or other high-growth experience preferred.
• Strong Google Workspace and Microsoft Office skills.
• Comfort using tools such as Google Calendar, Slack, Zoom, Ramp, Expensify, Concur, Notion, Asana, Monday, or DocuSign.
Location and Working Arrangement
This is a local Burbank-area role with regular in-person presence expected. Candidates should live within a practical commute of Burbank; a long daily commute from a distant part of the Los Angeles region is not the intended arrangement. Confirm the candidate's actual location, commute, and availability early in the process. The specific onsite schedule and working hours will be discussed during the interview process.
Compensation
Approximate base salary: $85,000 annually. This is the intended compensation ceiling for the role. Full-time employment benefits and any early-stage equity opportunity will be discussed separately as part of the offer.

Success means the CEO and executive team can rely on you completely: calendars are organized, travel is seamless, expenses and invoices are tracked, meetings are prepared, follow-ups happen, and details are handled before they become problems. You create order, clarity, and calm in a fast-moving startup environment.
