We are looking for an experienced Executive Assistant to provide high-level administrative support in a services environment based in New York, New York. This Long-term Contract opportunity will support senior leadership through a mix of executive assistance and front desk coverage, requiring someone who can adapt quickly and maintain a strong presence in a fast-moving office. The ideal candidate is organized, resourceful, and confident managing shifting priorities while working closely with multiple stakeholders.
Responsibilities:
• Manage complex executive calendars, prioritize scheduling requests, and coordinate meetings across multiple stakeholders.
• Arrange domestic and international travel plans, including itineraries, transportation, and related logistics.
• Prepare and submit expense reports accurately and in a timely manner using designated expense management tools.
• Reserve conference rooms and organize meeting logistics to ensure smooth day-to-day operations.
• Provide reception coverage when needed by welcoming visitors, answering inquiries, and maintaining an organized front desk presence.
• Offer backup administrative support to other executive assistants supporting senior leadership.
• Respond quickly to changing business needs and step into additional administrative tasks as priorities shift.
• Use Microsoft Office applications to create, update, and manage correspondence, documents, and meeting materials.
• At least 3 years of experience in an Executive Assistant or similar high-level administrative support role.
• Demonstrated success supporting senior executives, Partners, or business owners in a fast-paced setting.
• Strong expertise in Outlook, with advanced calendar management skills being essential for success in this role.
• Hands-on experience with Concur for expense reporting and reimbursement processing.
• Proficiency in Microsoft Office, including Word and other core applications.
• Financial services experience is strongly preferred.
• Ability to remain flexible, collaborative, and composed while balancing executive support duties with reception responsibilities.
