Distinct Construction Solutions is seeking a highly organized, dependable **Construction Project Coordinator / Office Secretary** to work full-time from our office.
This is **not a traditional receptionist or basic administrative assistant position**.
You will be the central point of coordination inside the office—supporting ownership, project managers, field operations, clients, subcontractors, finance, and active construction projects.
We are looking for someone who can take ownership of responsibilities, stay ahead of deadlines, maintain organized systems, and make sure important items do not fall through the cracks.
Construction moves quickly. Contracts, permits, schedules, subcontractor documentation, invoices, client communication, and project records all have real financial and operational consequences. We need someone who understands that level of responsibility.
## WHAT YOU WILL DO
### FRONT OFFICE & COMPANY SUPPORT
* Serve as the primary in-office/front-desk point of contact
* Answer and direct incoming calls and correspondence
* Assist ownership with day-to-day company operations
* Coordinate appointments, meetings, follow-ups, and internal tasks
* Maintain an organized and professional office environment
* Help keep ownership and project management informed of outstanding items and deadlines
### CONSTRUCTION PROJECT COORDINATION
* Assist project managers with multiple active construction projects
* Track project schedules, deadlines, documentation, and outstanding items
* Follow up with subcontractors, vendors, clients, architects, engineers, and other project participants
* Help coordinate project information between the office and field teams
* Track pending permits, inspections, documents, approvals, change orders, and project requirements
* Identify missing information and follow through until it is resolved
### PROJECT & DOCUMENT CONTROL
* Manage contracts, plans, permits, change orders, invoices, receipts, lien waivers, and project documentation
* Upload, organize, and maintain project records in Buildertrend and Dropbox
* Make sure every active project has complete and accurate documentation
* Maintain organized digital and physical project files
* Keep records current and easy to retrieve
### SUBCONTRACTOR & VENDOR COMPLIANCE
* Collect and track subcontractor licenses, insurance certificates, W-9s, agreements, and other required documentation
* Verify required documents are received before subcontractors begin work
* Maintain organized subcontractor and vendor records
* Follow up proactively when documents are missing or expiring
### CLIENT & PROFESSIONAL COMMUNICATION
* Prepare and send professional emails to clients, subcontractors, vendors, and project professionals
* Follow up on missing information and outstanding action items
* Document important communication
* Help maintain professional and timely communication throughout each project
### FINANCIAL & INVOICING SUPPORT
**This is not an accounting position.**
You will:
* Assist with preparing and tracking invoices
* Organize receipts and financial documentation
* Coordinate with our finance staff
* Track payments and outstanding documentation
* Assist with lien waivers and project financial records
* Help ensure paperwork connected to project billing is complete
### CORPORATE & OFFICE RECORDS
* Maintain organized company records
* Assist with annual corporate documentation and filings
* Maintain meeting records and internal documentation
* Help management keep required corporate information organized and current
## THE PERSON WE ARE LOOKING FOR
You should be someone who naturally:
* Is extremely organized
* Pays close attention to details
* Follows through without needing repeated reminders
* Can manage several priorities at the same time
* Communicates professionally
* Takes deadlines seriously
* Keeps accurate records
* Is comfortable holding other people accountable for missing information
* Can work independently
* Knows when something needs to be escalated to management
* Takes ownership instead of waiting to be told every next step
* Functions well in a fast-moving construction environment
## EXPERIENCE
**Strongly preferred:**
* Construction company, general contractor, subcontractor, developer, architecture, engineering, or similar industry experience
* Construction project coordination
* Construction office experience
* Buildertrend or another construction management/CRM platform
* QuickBooks or similar financial software
* Contract and document management
* Subcontractor compliance
* Client communication
* Microsoft Office / Google Workspace
* Dropbox or similar cloud file-management systems
Candidates with strong project coordination or operations experience outside construction may also be considered if they are highly organized and able to learn construction processes quickly.

* Need frequent reminders to complete assigned work
* Have difficulty managing multiple deadlines
* Are uncomfortable following structured systems and procedures
* Do not consistently follow through on open items
* Become easily overwhelmed when several projects require attention simultaneously

* **$25–$35 per hour**, depending on experience and qualifications
