Role Summary
The Executive Assistant provides high-level administrative and operational support to senior leadership. This role requires exceptional organization, discretion, judgment, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant serves as a trusted partner, helping executives operate efficiently and focus on strategic priorities.
Key Responsibilities
Executive Support
- Manage complex calendars, scheduling meetings across multiple time zones
- Coordinate travel arrangements, itineraries, and expense reporting
- Prepare agendas, presentations, briefing materials, and follow-up notes
- Handle confidential and sensitive information with discretion
Communication & Coordination
- Serve as a primary point of contact between executives and internal/external stakeholders
- Screen and prioritize emails, calls, and requests
- Draft and proofread correspondence and reports
- Coordinate board meetings, leadership meetings, and special events
Operations & Office Management
- Track action items and ensure timely follow-up on executive priorities
- Assist with special projects, research, and ad hoc initiatives
- Plan and implement company events, meetings, meals and snacks
- Assist with purchasing, receiving, vendors and related software
Qualifications
Required
- 5+ years of experience supporting senior executives
- Exceptional organizational, time-management, and multitasking skills
- Strong written and verbal communication skills
- High level of professionalism and sound judgment
- Proficiency with Microsoft 365 (Outlook, Teams, Word, PowerPoint, Excel)
Preferred
- Experience supporting C-level executives
- Exposure to board relations or investor-facing activities
- Experience in biotech/tech
- Bachelor’s degree or equivalent experience
