Fineline Architectural Millwork is looking for an organized, hands-on Purchasing & Receiving Coordinator to keep materials and hardware moving through our Costa Mesa shop. You’ll own the path from purchase order to shop floor: buying what our crews need, receiving it in accurately, keeping inventory in order, and making sure the right parts go out on the right truck. It’s a role that mixes office work and shop work, and it’s a great fit for someone who likes keeping things organized and enjoys being where the action is.
What You’ll Do
Purchasing
• Place purchase orders for sheet goods, lumber, hardware, and shop supplies
• Work with vendors on pricing, lead times, and delivery dates; follow up on late or back-ordered items
• Keep project managers and the production team updated on order status
Receiving
• Receive incoming deliveries and check them against the purchase order and packing slip
• Document shortages, damage, or incorrect items and work with vendors to resolve them
• Enter receipts in QuickBooks and keep PO and packing-slip paperwork matched and filed for accounting
• Let project managers know when their material has arrived
Inventory & Hardware
• Maintain accurate shop inventory and keep stock areas and racks organized
• Track, label, and store job-specific hardware so it’s ready when the crews need it
• Watch stock levels and reorder before we run out
Shipping & Deliveries
• Help get the delivery team out the door each morning: pulling and staging product, wrapping, and loading trucks
• Check off every part against the job list as it’s loaded, so nothing leaves the shop missing
• Make occasional deliveries and same-day material runs in a company vehicle
Shop Support
• Pitch in wherever the shop needs an extra set of hands: organizing, setting up samples, tracking down materials for project managers and crew leads, and helping on shop projects as priorities shift
What We’re Looking For
Required
• Experience in purchasing and/or receiving
• Hands-on experience with QuickBooks
• Valid California driver’s license and a clean driving record
• Strong organization and attention to detail
• Comfortable with email, spreadsheets, and Microsoft Teams
• Able to lift 50 lbs and work on your feet in a shop environment A Plus
• Bilingual English / Spanish
• Forklift certification
• Experience in a cabinet, millwork, woodworking, or construction setting
• Familiarity with cabinet hardware and sheet goods
Who does well here. This isn’t a sit-at-a-desk-all-day job. On any given day you might go from a vendor call to the receiving dock to helping load a truck. The person who thrives in this role takes ownership, stays organized when priorities shift, and is happy to jump in wherever the team needs help.
