Position Summary
The Night Auditor is responsible for providing exceptional overnight guest service while accurately completing the hotel’s nightly financial audit and accounting procedures. This position serves as the primary Front Office representative during the overnight hours and is responsible for ensuring the safety, security, and smooth operation of the hotel throughout the night.
The Night Auditor balances daily hotel transactions, verifies revenue and payments, prepares required financial reports, processes guest accounts, and assists guests with check-ins, check-outs, requests, and concerns. The position requires strong attention to detail, sound judgment, confidentiality, and the ability to work independently.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Guest Service & Front Desk Operations:
-Welcome and assist guests in a warm, professional, and hospitable manner.
-Complete guest check-ins, check-outs, room changes, and account adjustments.
-Respond promptly to guest requests, questions, and concerns during overnight hours.
-Maintain accurate guest records and ensure proper handling of guest information.
-Process room charges, payments, deposits, refunds, and other Front Desk transactions.
-Handle wake-up calls, transportation requests, luggage assistance, and other overnight guest needs.
-Resolve routine guest issues and escalate significant concerns to the appropriate manager.
-Maintain a professional and welcoming Front Desk presence at all times.
Night Audit & Financial Responsibilities:
-Complete the hotel’s daily night audit according to established procedures and timelines.
-Verify and reconcile room revenue, food and beverage revenue, payments, taxes, and other hotel transactions.
-Review and balance Front Desk and outlet postings.
-Identify discrepancies and research errors before completing the audit.
-Verify credit card transactions and ensure appropriate documentation.
-Process adjustments, corrections, and postings in accordance with hotel policies.
-Run and distribute required daily financial, occupancy, revenue, and operational reports.
-Prepare cashier banks and complete required cash-handling procedures.
-Maintain accurate records and protect confidential financial information.
-Ensure the business date is closed properly and the next operating day is opened accurately.
Hotel Operations:
-Monitor hotel activity and maintain awareness of overnight operations.
-Conduct routine inspections of the Front Desk and public areas as assigned.
-Communicate important overnight activity, maintenance concerns, guest issues, and operational matters to the appropriate departments.
-Review arrivals, departures, VIPs, groups, special requests, and other relevant Front Office information.
-Coordinate with Security, Engineering, Housekeeping, and other departments as necessary.
-Respond appropriately to emergencies and follow established hotel emergency procedures.
-Maintain a clean, organized, and professional Front Desk and work area.
-Ensure all hotel policies, standards, and procedures are followed.
Safety & Security:
-Maintain awareness of hotel security and guest safety throughout the overnight shift.
-Follow established emergency, fire, evacuation, and incident-reporting procedures.
-Report suspicious activity, safety hazards, maintenance issues, or security concerns immediately.
-Protect guest keys, personal information, payment information, and other confidential materials.
-Complete incident reports accurately and thoroughly when required.
-Communication & Teamwork
-Provide an effective overnight handoff to the morning Front Office team.
-Communicate outstanding guest issues, financial discrepancies, maintenance concerns, and operational priorities.
-Maintain professional relationships with guests, coworkers, managers, and other hotel departments.
-Support Front Office operations and other departments when business needs require.
-Participate in required meetings, training, and hotel programs.
REQUIRED QUALIFICATIONS:
-High school diploma or equivalent preferred.
-Previous hotel, Front Desk, Night Audit, or customer-service experience preferred.
-Previous cash-handling and/or accounting experience preferred.
-Strong mathematical and reconciliation skills.
-Excellent attention to detail and organizational skills.
-Strong verbal and written communication skills.
-Ability to maintain confidentiality and exercise sound judgment.
-Ability to work independently with minimal supervision.
-Ability to remain calm and professional when handling guest concerns or unexpected situations.
-Basic computer proficiency and ability to learn hotel property-management and accounting systems.
PHYSICAL REQUIREMENTS:
-Ability to stand and walk for extended periods.
-Ability to sit and work at a computer for extended periods.
-Ability to occasionally lift, carry, push, or pull items weighing up to approximately 25 pounds.
-Ability to communicate effectively with guests and coworkers.
-Ability to work overnight hours, weekends, holidays, and varying schedules as required.
WORK ENVIRONMENT:
The Night Auditor works primarily at the hotel Front Desk and throughout public areas of the property. The position operates during overnight hours and may involve periods of limited activity as well as unexpected guest needs, emergencies, or operational issues. The employee is expected to remain alert, professional, and prepared to respond to hotel and guest needs throughout the shift.
