Accounts Payable Portfolio Manager / AP Specialist
Full-Time Remote | Work From Home | Monday–Friday, 9:00 AM–5:00 PM
HOA Organizers is seeking a detail-oriented and highly organized Accounts Payable Portfolio Manager / AP Specialist to join our Accounting team.
This is a 100% remote, work-from-home position, but it is not a flexible-hours or work-at-your-own-pace position. This is a full-time role requiring 40 hours per week, Monday through Friday, approximately 9:00 AM–5:00 PM, working alongside and communicating with a collaborative team throughout the business day.
What You'll Do
You will be responsible for managing the day-to-day accounts payable activity for an assigned portfolio of homeowners association clients. Responsibilities include:
Receive, review, code, and process vendor invoices accurately and timely.
Manage AP activity for an assigned portfolio of community association clients.
Ensure invoices are assigned to the correct client and properly coded.
Review invoices for accuracy, completeness, duplicates, and discrepancies.
Route invoices through the appropriate approval process.
Monitor outstanding invoices and approvals and proactively follow up when items are delayed.
Communicate with Community Managers regarding invoices, coding questions, missing information, and approvals.
Communicate professionally with vendors regarding invoice questions and discrepancies.
Communicate with Board of Directors regarding any questions they may have or any issues or anomalies.
Research and resolve invoice-related issues.
Maintain accurate vendor information within the company's systems.
Track assigned responsibilities and follow through until issues are resolved.
Manage multiple client accounts, deadlines, and priorities simultaneously.
Identify unusual charges, inconsistencies, or potential errors and escalate concerns appropriately.
Maintain organized documentation relating to assigned AP activity.
Work closely with other members of the Accounting and Community Management teams.
Respond to internal questions and requests promptly.
Take ownership of assigned work rather than simply passing issues to another department.
Maintain accurate and timely AP processing according to company procedures and deadlines.
What We're Looking For:
The ideal candidate is someone who enjoys detailed accounting work but also understands that this position involves managing relationships, priorities, deadlines, and a portfolio of clients, not simply entering invoices.
Strong candidates will have:
Previous accounts payable, bookkeeping, accounting clerk, or similar experience.
Strong attention to detail and accuracy.
Ability to comfortably manage a high volume of transactions.
Strong organizational and time-management skills.
Ability to independently manage multiple accounts and competing priorities.
Strong written and verbal communication skills.
Confidence following up with coworkers and vendors when information is needed.
Good judgment and the ability to identify when something does not look right.
Strong computer skills and ability to learn new software platforms.
Experience working electronically with invoices and accounting systems.
Dependability and consistent attendance.
Ability to work independently from home while remaining engaged and responsive to a team throughout the workday.
Experience in HOA/community association management, property management, or multi-client accounting is helpful but not required.
Remote Work Expectations
Although this position is fully remote, employees are expected to be actively working and available during their scheduled workday.
This position requires:
40 hours per week
Monday through Friday
Approximately 9:00 AM–5:00 PM
Consistent availability through company communication platforms during working hours
Participation in virtual team meetings and training
Timely responses to coworkers and managers

Ability to collaborate with a team throughout the day
This role is best suited for someone who appreciates the convenience of working from home while also enjoying the structure and collaboration of a traditional full-time workday.
Compensation
$19.00–$21.00 per hour, depending on experience. After 90-day probationary period, health benefits are available, as well as 401K with a company 3% match. The position includes 2 weeks paid vacation, 6 paid sick days and 11 paid holidays off per year.
