Golden Future Expos Inc. is seeking a reliable, patient, and highly capable Event Day Operations Assistant to support our Event Director at Golden Future Senior Expos throughout Southern California.
This is a hands-on position for someone who enjoys helping others, works well in a fast-paced environment, and has a sincere appreciation for seniors. The right person must be dependable, punctual, kind, organized, and able to manage multiple responsibilities without becoming overwhelmed or frustrated.
Reliability is essential. The person selected for this position must be available for every remaining 2026 event date listed below and must arrive on time—including early-morning arrival times that begins at 5:00 a.m sharp.
POSITION RESPONSIBILITIES
The Event Day Assistant will work directly with the Event Director and help with all aspects of event-day operations, and may include any of the following tasks:
Arriving on time and remaining at the event through breakdown and completion of assigned duties
Assisting with early-morning event setup, including registration areas, signage, activity stations, speaker rooms, exhibitor materials, and supplies
Helping exhibitors locate their assigned spaces, answer questions, and resolve basic event-day needs
Assisting with attendee registration, check-in, tote-bag distribution, and general crowd flow
Greeting seniors, caregivers, veterans, exhibitors, speakers, and community partners in a friendly and professional manner
Answering attendee questions and providing clear directions to exhibit areas, restrooms, speaker rooms, workshops, activities, and other event features
Assisting seniors who may need additional time, patience, directions, or help navigating the venue
Monitoring speaker and workshop schedules to help sessions begin and end on time
Greeting speakers, helping them locate their presentation rooms, and confirming that they have what they need
Assisting with microphones, presentation materials, seating, room flow, and basic speaker-room needs
Supporting activities such as bingo, arts and crafts, complimentary services, giveaways, health screenings, entertainment, and door-prize drawings
Organizing, assigning, and supervising event volunteers
Clearly explaining volunteer duties and redirecting volunteers as event needs change
Monitoring registration areas, activity rooms, and other assigned spaces to ensure they remain organized and properly supplied
Communicating problems or concerns to the Event Director promptly
Identifying practical solutions to routine event-day issues while understanding when approval is needed
Following instructions carefully and completing assignments without repeated reminders
Helping maintain a welcoming, organized, safe, and positive environment throughout the event
Assisting with breakdown, packing materials, gathering signage, and loading event supplies at the end of the day
Performing other event-related duties as assigned by the Event Director
QUALIFICATIONS AND PERSONAL QUALITIES
The ideal candidate must:
Be extremely reliable, punctual, and committed to attending every scheduled event
Have dependable transportation and be willing to travel to all event locations.
Be available for early-morning starts, including arrival times as early as 5:00 a.m.
Have genuine patience, kindness, and respect when working with seniors
Sincerely enjoy helping older adults and people from diverse backgrounds
Remain calm, professional, and courteous when the event becomes busy
Be able to multitask without becoming easily frustrated or overwhelmed
Learn new responsibilities quickly and retain instructions
Be solutions-oriented, resourceful, and able to use good judgment
Follow directions closely while also taking appropriate initiative
Communicate clearly and professionally with attendees, exhibitors, speakers, volunteers, venue staff, and team members
Be organized and attentive to details
Be flexible and willing to move between assignments as priorities change
Work well independently and as part of a team
Be comfortable standing and walking for extended periods
Be able to bend, reach, carry supplies, and assist with physical event setup and breakdown
Maintain a neat, professional appearance
Previous event, hospitality, customer-service, registration, senior-care, or volunteer-coordination experience is helpful.
