Description:
WINICK ARCHITECTS INC: Looking for an Executive Assistant to start immediately. Must be a self-starter with strong attention to detail, excellent written and verbal communication skills, and knowledge of Microsoft Office and Adobe Creative Suite. Candidate must be highly organized with the ability to prioritize and multitask. This role works closely with the CEO to perform a wide variety of tasks and is responsible for fulfilling the assigned duties below:
- Coordinating the office’s marketing efforts including management of the company’s social media presence, designing layouts for advertisements, maintaining relationships with publications, entering and creating submissions for design competitions, scheduling/coordinating marketing events
- Utilizing Adobe Creative Suite, particularly Photoshop, Illustrator, and InDesign to enhance architectural drawings, draft presentations, create company-related graphics, etc. as needed
- Assistance as needed with the creation and distribution of Fee Proposals, Request for Proposals, Additional Service Requests, and other Proposal-related documents
- Project assistance as needed including writing and distributing meeting agendas and meeting reports, filing submittals and RFI’s
- Maintaining the company’s website and keeping the company’s portfolio up-to-date
- Maintaining office supplies, organizing office sample library
- Processing time off requests, tracking staff PTO, updating office calendar
- Filing/correcting staff timesheets at the end of the month, issuing timesheets reminders to staff
- Coordinating office improvement projects and other maintenance
- Managing the office’s Accounts Payable email, including processing invoices, and maintaining a tracker for consultant fees
- Scheduling and confirming appointments
- Answering the phone and directing calls to the appropriate recipient
- Greeting all clients, consultants, sales reps that visit the office
- Upholding a strict level of confidentiality
- Knowledge of Excel and Quickbooks is a plus.

Requirements:
- Bachelor or Masters Degree
- 3 years (minimum) of relevant experience
- Excellent written and verbal communication skills & proper business etiquette
- Highly organized, able to prioritize tasks and at times multitask in fast-paced environment.
- Willingness to learn and grow
- Discretion when handling confidential information and strong customer service skills for dealing with staff, clients, and vendors
- Knowledge of Adobe Creative Suite, including Photoshop, Illustrator, and InDesign
