We are seeking an exceptional Senior Executive Assistant / Personal Assistant to support a highly successful entrepreneurial couple with an extensive portfolio of businesses and investments. This is a fast-paced, highly collaborative role working alongside an established executive support team and long-tenured staff.
While you will provide support to both Principals, much of your day-to-day interaction will be with the internal team, helping ensure priorities, projects, and personal matters move forward seamlessly. This role requires someone who enjoys being the operational backbone behind the scenes—anticipating needs, following through on details, and ensuring every moving piece is handled with precision.
The position blends sophisticated executive support with high-level personal assistance. One moment you may be coordinating complex calendars or assisting with business initiatives, and the next you may be overseeing birthday gifting, maintaining household systems, coordinating with housekeepers, or ensuring personal projects are executed flawlessly. No task is too large or too small, and success comes from approaching everything with equal enthusiasm, discretion, and professionalism.
This is an exceptional opportunity for a polished, service-oriented Executive Assistant / Personal Assistant and or Estate Manager, who enjoys wearing many hats while partnering closely with an experienced leadership team.
Key Responsibilities
- Provide high-level executive and personal support to two Principals while collaborating closely with their executive team.
- Manage complex calendars, scheduling, and meeting coordination while balancing competing priorities.
- Coordinate domestic and international travel alongside a dedicated travel concierge.
- Serve as a liaison between the Principals, internal team members, advisors, vendors, and outside partners.
- Support ongoing business initiatives by tracking projects, deadlines, deliverables, and action items while working closely with other members of the executive team.
- Assist with special projects across multiple businesses, ensuring timelines and priorities remain on track.
- Maintain detailed spreadsheets and systems for birthdays, anniversaries, gifting, important dates, and personal preferences.
- Coordinate thoughtful gifts, flowers, holiday planning, and special occasions.
- Help oversee the day-to-day needs of the Principals' residences by communicating with housekeepers, vendors, and household staff to ensure everything is running smoothly.
- Coordinate appointments, reservations, errands, personal shopping, and lifestyle logistics.
- Prepare meeting materials, presentations, agendas, and briefing documents.
- Handle highly confidential information with discretion and professionalism.
- Create and improve systems that enhance organization and efficiency.
- Step in wherever needed, understanding that flexibility and a service-first mindset are essential to the role.
Qualifications
10+ years of experience supporting C-suite executives, founders, entrepreneurs, family offices, or ultra-high-net-worth individuals as a Senior Executive Assistant or Personal Assistant.
- Significant experience balancing executive support with high-level personal assistant responsibilities.
- Comfortable working within an established team structure while supporting multiple stakeholders and priorities.
- Outstanding organizational and project management skills with exceptional attention to detail.
- Proven experience managing highly complex calendars, travel, logistics, and competing priorities.
- Exceptional written and verbal communication skills.
- Highly polished, professional, discreet, and confident with outstanding executive presence.
- Naturally proactive with the ability to anticipate needs several steps ahead.
- Equally comfortable handling sophisticated business support and day-to-day personal responsibilities.
- Strong technology skills, including Google Workspace, Microsoft Office, Slack, Asana, Monday.com, ChatGPT, and other AI productivity tools.
- Resourceful, solutions-oriented, and highly organized with excellent judgment and follow-through.
- High emotional intelligence with the ability to build trusted relationships across all levels of the organization.
