Lead Administrative Assistant (3–5 Yrs Exp. Required – 100% In-Office)
We are looking for an organized, self-motivated professional with 3 to 5 years of solid office experience. This is a 100% in-office position at our local workplace. In this role, you will work independently, stay two steps ahead of daily needs, and handle face-to-face communication with staff, clients, and vendors smoothly. We need a reliable problem solver who does much more than basic data entry to keep our physical workplace running efficiently.
Schedule & Location
- Work Arrangement: 100% on-site / in-office. Remote or hybrid work is not available for this position.
- Hours: Full-time, Monday through Friday, fixed day-shift hours.
- Attendance: Exceptional punctuality and reliable daily attendance are strict requirements to ensure physical office coverage.
Work Experience Required
- Proven Track Record: 3–5 years of continuous, full-time administrative support experience in a busy office setting. (Please note: entry-level receptionist or brief internship roles will not meet this requirement).
- Calendar Management: Extensive experience managing busy, ever-changing calendars and scheduling appointments without needing constant oversight.
- Meeting Planning: Experience handling all logistics for big meetings, workshops, and staff events, including putting together agendas and taking clear notes.
- Travel Booking: Confident handling complete travel arrangements, including flights, hotels, and tracking expense receipts.
Technical Skills
- Software Skills: Advanced, daily experience using Microsoft Office 365 (Word, Excel, Outlook) or Google Workspace. Skills will be verified during the interview process.
- Digital Tools: Experience using and updating office databases, digital filing systems, or project tracking tools (like Asana or Monday.com).
- Billing & Expenses: Hands-on experience tracking office spending, processing expense reports, or using basic bookkeeping software.
- Tech Troubleshooting: Ability to independently figure out minor office tech issues like printer jams, Wi-Fi resets, or setting up video calls.
Everyday Expectations
- Gatekeeping & Reception: Strong ability to greet walk-in visitors, screen incoming calls, and manage physical mail, handling routine questions yourself while passing urgent matters to management.
- Discretion: A proven history of handling private company, financial, or staff information with complete confidentiality.
- Writing Skills: Excellent writing and speaking skills, with the ability to draft professional, error-free emails and office updates.
- Office Organization: A track record of cleaning up messy digital folders, organizing physical storage, and finding faster ways to handle daily paperwork.
