Senior Administrative Assistant | 5+ Years Required | International Business Environment

We are seeking an exceptionally capable Senior Administrative Assistant with at least five years of continuous, full-time experience in a busy, demanding office environment. The right person is organized, resourceful, accurate, and confident managing competing priorities without constant supervision.
You must be someone who anticipates what needs attention, communicates professionally, solves problems independently, and takes genuine ownership of your work. We are looking for a dependable team member who can bring structure to a fast-moving workplace while remaining flexible, composed, and pleasant to work with.
No two days are the same. You will work with business clientele, international clients, vendors, and professionals across a variety of projects. The pace can be demanding and priorities may change quickly, but the work is interesting and meaningful. Schedule and Location
- Work arrangement: 100% in-office. Remote and hybrid work are not available.
- Schedule: Full-time, Monday through Friday, fixed daytime hours.
- Attendance: Consistent punctuality and dependable daily attendance are essential.
Required Professional Experience
- At least five years of continuous, full-time administrative experience in a fast-paced professional office.
- Managing busy calendars, scheduling appointments, resolving conflicts, and adjusting priorities without close supervision.
- Booking complete travel arrangements, including flights, hotels, ground transportation, itineraries, and expense documentation.
- Managing multiple assignments accurately while meeting deadlines in a changing work environment.
- Communicating confidently and professionally with management, employees, business clients, international clients, and vendors.
- Maintaining organized, accurate company records and ensuring important details and follow-ups are not overlooked.
Technical and Administrative Skills
- Advanced daily proficiency with Microsoft 365, including Outlook, Word, and Excel. Comparable Google Workspace experience may also be considered.
- Strong experience maintaining databases, digital filing systems, company records, and project-tracking platforms.
- Hands-on experience processing invoices, tracking expenses, preparing reports, or working with bookkeeping software.
- Excellent business writing skills and the ability to produce polished, accurate emails and documents without extensive correction.
- Excellent written and spoken English is required.
- Professional Spanish-language ability is a plus but not required.
- Administrative, writing, and software skills will be evaluated during the interview process.
