Description
Our client in the construction industry is seeking a detail-oriented and organized Administrative Assistant to support daily office operations and project coordination. This role will assist with scheduling, document management, communications, and general administrative tasks to help keep projects and office functions running smoothly. The ideal candidate is proactive, dependable, and comfortable working in a fast-paced environment.
Key Responsibilities:
Provide administrative support to project managers, office leadership, and field teams
Answer phones, respond to emails, and route inquiries appropriately
Manage calendars, schedule meetings, and coordinate appointments
Prepare, organize, and maintain project files, contracts, correspondence, and other documentation
Assist with data entry, reports, and tracking of project-related information
Support invoice processing, purchase orders, and other administrative paperwork
Coordinate office supplies, mail, deliveries, and general office needs
Help track deadlines, permits, subcontractor documents, and compliance records
Assist with meeting preparation, notes, and follow-up tasks
Perform other administrative duties and special projects as needed
Requirements
2+ years of administrative support experience, preferably in construction, engineering, or a related field
Strong organizational and multitasking skills
Excellent written and verbal communication abilities
Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
Ability to manage multiple priorities in a deadline-driven environment
High attention to detail and strong problem-solving skills
Professional demeanor and dependable work ethic
High school diploma or equivalent required; additional education is a plus
Preferred Skills:
Experience supporting project-based teams
Familiarity with construction documentation, permits, or subcontractor coordination
Knowledge of invoicing, purchase orders, or vendor communication
Ability to work effectively with both office and field personnel
