Come join a well established and growing law firm in Greenway Plaza and support multiple Attorneys and Legal Assistants.
You will work closely with them to provide all requested administrative support, which may include word processing, database management, spreadsheets, presentation software, electronic calendaring, and emailing. Job duties may vary depending on the assigned Attorney’s and Legal Assistant’s requests.
RESPONSIBILITIES
Secretary duties
- Maintain complex calendars for multiple Attorneys/Legal Assistants
- Manage phone lines for assigned Attorneys
- Time entry for Attorneys into the time-keeping system
- Maintain a high level of discretion and confidentiality
- Act as the point of contact between Attorneys/Legal Assistants and clients
- Set up meetings and conference calls
- Create expense reports and review and confirm reimbursements
- Create PowerPoint presentations per Attorney request
- Maintain attorney reading and working files
- Make work-related travel arrangements for Attorneys and Legal Assistants
- Make work-related restaurant reservations as request
- Arrange for courier pick-ups and deliveries
Word processing and mail out duties
- Document revisions
- Process mail-outs and overnight deliveries
- Receptionist duties
- Periodically fill-in for the primary Receptionist on the main floor as requested
- Greet and direct guests to conference rooms
- Receive deliveries
- All other duties as assigned
JOB QUALIFICATIONS
- Excellent oral and written communication skills
- Excellent telephone skills
- 5+ years of experience as an Executive Assistant
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Detail oriented and works with a high degree of accuracy
- Highly organized and flexible
- Ability to multitask and prioritize workload
- Must be a team player
- Must be self-directed and able to complete projects with limited supervision
