Job Description
Reynolds is seeking a highly organized Executive Assistant to provide strategic support to the executive leadership team in a fast-paced environment. The ideal candidate excels at managing complex calendars, board-level activities, and confidential tasks while partnering closely with senior leaders.
Key Responsibilities
- Manage complex calendars, shifting priorities, travel, and high-level communications for senior executives
- Coordinate meetings, executive team priorities, and board activities, including preparing agendas, materials, and securely distributing documents
- Anticipate executive needs, solve issues proactively, and ensure seamless daily operations
- Serve as the primary point of contact among internal teams, external partners, and senior leadership
- Prepare and manage sensitive correspondence, presentations, and reports
- Handle confidential information with utmost integrity and judgment
- Maintain organized systems and workflows to improve efficiency
- Demonstrate sound judgment, adaptability, and professionalism
Requirements
- 3–5 years of experience as an executive assistant or in a similar high-level administrative role supporting senior leaders; experience supporting a board and/or working in a law firm is a plus but not required
- Proven ability to manage executive calendars, travel, and communications
- Proficient in Microsoft Office and able to quickly learn scheduling and project management tools
- Clear written and verbal communication skills with strong attention to detail
- Discreet and professional in handling confidential information
- Highly organized, with strong multitasking and time-management skills
- Polished, professional demeanor; effective working with executives, boards, and external partners
