EVENT COORDINATOR
Reports to: Executive Director
Hours: Full time - 40 hours a week
Pay: $20.00 hour starting
ORGANIZATION DESCRIPTION
The Downtown West Bend Association (DWBA) is a nonprofit organization whose mission is to drive customer traffic to downtown West Bend retailers, service businesses and hospitality businesses. This mission is primarily accomplished by the DWBA hosting free public and ticketed events that draw local and out-of-town shoppers downtown. The mission is also served through robust social media promotion of both DWBA events and the individual downtown businesses. We host all the fun events in West Bend!
POSITION DESCRIPTION
We are searching for an enthusiastic Event Coordinator with a "can-do" attitude to assist our organization in all the aspects of hosting DWBA events. The Event Coordinator will assist with researching entertainment, vendor recruitment, managing our events' calendar, negotiating contracts with vendors, assisting with event marketing, and maintaining mutually beneficial relationships with vendors, area businesses and sponsors. The right candidate will bring creativity, good organizational skills, and vision to maintain and enhance DWBA brand visibility.
The Event Coordinator has a primary task of managing the award winning West Bend Farmers’ Market (WBFM) during its 24 week season each year.
The Event Coordinator assists the Executive Director in the management of all other events and programming. The Event Coordinator is the lead on implementation and management of social media branding for the DWBA and its events. The Event Coordinator also assists in mentoring the Event & Marketing Summer Intern.
DUTIES AND RESPONSIBILITIES
· Related to the WBFM - Recruitment/Processing of Applications for Full Season and Partial Season Vendors
· Related to the WBFM - Vetting Full Season and Partial Season Vendors
· Related to the WBFM - Coordinating Invoicing and Payment Collection with the Office Administrator
· Related to the WBFM - Recruitment of Volunteers for the DWBA Booth & Free Sample Booth
· Related to the WBFM - Management of the Market throughout the 24 Week Season
· Generally - Lead on implementation and management of social media marketing of DWBA & its events
· Generally - Part of a team that brainstorms and implements event plans and concepts
· Generally - Part of a team that manages event logistics
· Generally - Part of a team that coordinates/manages DWBA volunteers
· Generally - Works with the Executive Director securing event sponsorships
· Must be able to lift up to 50 pounds
· Must be able to pull up to 100 pounds in wagons
QUALIFICATIONS
· Degree in Public Relations, Communications, Marketing, or a related field (Real World Experience can substitute for a Degree)
· Events Management Experience (1 year preferred)
· Customer Service Experience (1 year preferred)
· Good Communication Skills
· Good Organizational Skills
· Good Time Management Skills
· Experience using some or all of the following software programs: Microsoft Word, Excel, Publisher, & PowerPoint, Google Drive, Canva, Constant Contact, Weebly website software, Facebook, Instagram, Ticket Leap, Sign Up Genius and others
SCHEDULE
· Generally Monday to Friday during Business Hours Except when Events Call for Evening or Weekend Hours
· Up to 14 Thursday Nights from the end of May through August
· Up to 12 Saturday Mornings during the WBFM season, mid May through October
· Some additional Saturdays may be required in Autumn, Winter and Spring for other DWBA events
· Early morning to mid-day the Sunday of Labor Day weekend for the Wheels on Main Car Show

This is an in-person, in West Bend, Wisconsin job opportunity. The Event Coordinator must be able to reliably commute to the DWBA or plan to relocate before starting work (requirement).
