The Executive Assistant will support our incoming Chief Information Officer (CIO). The Executive Assistant will play a pivotal role in ensuring the CIO is always up to date and organized and will provide support to ensure projects and strategic initiatives move forward effortlessly. This is a fantastic opportunity for an Executive Assistant with strong prior experience who is looking to take their career to the next level and partner with the Executive. The Executive Assistant will display the highest level of discretion and professionalism. This position will be on site and based in our New York City headquarters.
Primary Duties And Responsibilities
- Proactively identify issues that could impact CIO’s commitments and develop innovative solutions to mitigate risks
- Manage the email inbox for the CIO, filter all correspondence and provide a summary of most essential information
- Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
- Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
- Assist the CIO with any necessary meeting preparation and when requested, join the CIO in meetings to take notes and follow up with responsible parties to ensure tasks are completed as agreed upon
- Creates list of action items from meetings and tracks their progress
- Maintains the highest level of confidence and protects operations by keeping information confidential
Experience, Skills And Abilities Required
- Minimum of 5+ years of experience as an Executive Assistant reporting directly to senior management
- Flexibility outside of “regular” business hours
- Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software
- Excellent verbal and written communication skills
- Superior time management skills with the ability to multitask while prioritizing tasks to meet deadlines
- Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
- Superior judgement, professionalism, poise, ability to maintain the highest level of confidentiality and assertiveness
- Exceptional interpersonal skills
- Friendly and professional demeanor
Greystone offers a competitive base salary and bonus. The base salary range for this position is $100,000 to $120,000/year. The specific compensation that will be offered is based on an understanding of the hired candidates' qualifications at the time of hire. Employees are eligible for a discretionary bonus based on employee work performance reviewed during the annual review process.
