We are seeking a highly organized, proactive, resourceful, and detail-oriented Executive Assistant to support the CEO across both business operations and select personal administrative matters.
This is a high-impact role operating at the center of a fast-growing entrepreneurial company focused on brand management, licensing, partnerships, acquisitions, and global business development. The Executive Assistant will serve as a trusted right hand to the CEO, helping manage priorities, streamline communication, maintain organization across multiple initiatives, and ensure day-to-day operations run efficiently.

What You’ll Do
Executive & Business Support
- Manage complex executive calendars across multiple time zones, prioritizing internal, investor, partner, and strategic meetings Create and manage weekly executive agendas, priorities, and meeting preparation documents
- Schedule recurring touch bases with internal teams, licensees, operators, investors, legal counsel, banks, and external partners
- Coordinate and manage detailed domestic and international business travel, including itineraries, flights, hotels, transportation, dining reservations, meeting schedules, and last-minute adjustments
- Prepare agendas, briefing materials, presentations, reports, and meeting notes
- Track action items and ensure follow-through across key initiatives and ongoing projects
- Help prioritize daily, weekly, and long-term executive initiatives to ensure alignment across the organization
Communication & Relationship Management
- Act as a liaison between the CEO and internal teams, partners, investors, licensees, retailers, operators, and other stakeholders
- Draft, manage, and coordinate professional communications, follow-ups, and outreach
- Maintain and organize executive contact databases by category (investors, licensees, operators, retailers, media, legal, etc.)
- Assist in coordinating follow-ups and relationship management after meetings, conferences, and events
- Coordinate investor communications, scheduling, material distribution, and follow-up processes
- Manage and maintain the CEO’s LinkedIn presence, profile updates, and inbound opportunities
Operational & Project Support
- Help maintain organization across acquisition opportunities, licensing deals, partnerships, and strategic initiatives
- Coordinate with legal, finance, and operational teams to ensure deadlines and deliverables are met
- Track approvals, deliverables, timelines, and pending decisions across active projects and transactions
- Maintain trackers, pipelines, reports, and organizational systems across multiple brands and initiatives
- Assist in preparing presentations, investor materials, decks, and reporting documents
- Support execution of key initiatives across partnerships, licensing, acquisitions, and brand operations
Industry & Event Coordination
- Research and identify relevant industry events, conferences, licensing expos, investor conferences, fashion trade shows, and networking opportunities for executive attendance
- Coordinate executive dinners, hospitality arrangements, meetings, and special events
- Assist with conference scheduling, travel coordination, registrations, and follow-up management
Personal Administrative Support
- Manage personal scheduling, appointments, reservations, family logistics, and select personal administrative matters
- Coordinate personal travel and itinerary management alongside business travel
- Assist with confidential and time-sensitive personal requests as needed
- Help maximize executive productivity by managing both business and select lifestyle logistics seamlessly
What We’re Looking For
- 3–5 years of experience supporting senior executives, founders, or entrepreneurs
- Exceptional organizational, multitasking, and priority management skills
- Strong written and verbal communication abilities
- Ability to anticipate needs and operate proactively with minimal oversight
- Highly resourceful, adaptable, and calm under pressure
- Strong attention to detail and follow-through
- Ability to handle confidential business, financial, legal, and personal information with discretion
- Comfortable operating in a fast-paced, high-growth entrepreneurial environment
- Experience in consumer brands, fashion, licensing, partnerships, private equity, or related industries preferred
- Experience supporting investor-facing executives or founders preferred
- Comfortable coordinating across international time zones and global partners
- Strong proficiency in Google Workspace, Microsoft Office, presentation software, project management tools, and AI productivity platforms
