Groomers Friend is a growing sharpening service and grooming supply company serving dog groomers, mobile groomers, grooming shops, and veterinarians throughout Orange County, LA County, and the Inland Empire. We are looking for a dependable, organized, and friendly full-time team member to help manage daily operations, customer communication, order fulfillment, invoicing follow-up, and customer outreach.
This is a hands-on position for someone who enjoys staying organized, talking with customers, solving problems, and helping a small business run smoothly.
RESPONSIBILITIES:
** Customer Service & Communication **
- Answer incoming phone calls in a friendly and professional manner.
- Respond to customer inquiries through GoHighLevel, text, email, and other communication channels.
- Help customers place orders for grooming supplies, sharpening services, and repair services.
- Follow up with customers regarding order status, pickup/drop-off scheduling, payments, and general questions.
- Keep accurate notes in the CRM so customer communication is organized and easy to track.
** Invoicing & Collections **
- Follow up with customers on outstanding invoices and past-due balances.
- Contact customers by phone, text, and email to collect payments.
- Track payment follow-ups and update customer accounts as needed.
- Help keep invoicing and customer records organized.
** Orders, Fulfillment & Inventory **
- Take customer orders accurately.
- Pull, pack, and prepare customer orders for pickup, delivery, or shipping.
- Help track product availability and inventory levels.
- Order supplies as needed and communicate low-stock items to management.
- Help make sure customer tools, products, and repairs are properly labeled, tracked, and organized.
** Routing & Scheduling **
- Help create efficient pickup and delivery routes.
- Coordinate pickup/drop-off schedules with customers and drivers.
- Communicate route details clearly to customers and team members.
- Help make sure customer orders and service items are ready for delivery on time.
** Shop Organization **
- Keep the shop, warehouse, and office areas clean and organized.
- Help maintain an efficient workflow for incoming and outgoing orders.
- Organize supplies, inventory, customer items, and work areas.
- Assist with general day-to-day operational tasks as needed.
** Sales Outreach & Lead Follow-Up **
- Contact local grooming shops, mobile groomers, and veterinarians to introduce Groomers Friend.
- Ask potential customers if they need sharpening services, shampoos, grooming supplies, clipper blades, shears, or dryer repairs.
- Follow up with leads and help schedule first-time service appointments.
- Help maintain and clean up the customer and lead database.
- Manage communication with an overseas virtual assistant who assists with lead generation and database cleanup.
IDEAL CANDIDATE:
The ideal candidate is organized, reliable, friendly, and comfortable handling multiple responsibilities throughout the day. This person should be able to communicate well with customers, follow through on tasks, stay on top of details, and take initiative when something needs to be done.
QUALIFICATIONS:
Strong customer service and communication skills.
Comfortable answering phones and speaking with customers.
Organized and detail-oriented.
Able to follow up consistently on invoices, orders, and customer requests.
Comfortable using basic computer systems, email, texting platforms, and CRM software.
Willing to learn GoHighLevel, QuickBooks, and other business tools.
Able to manage multiple tasks in a busy small-business environment.
Comfortable contacting local businesses by phone, text, or email.
Dependable, proactive, and willing to help wherever needed.
PREFERRED EXPERIENCE:
Customer service experience.
Administrative or operations experience.
Experience with CRM software, QuickBooks, GoHighLevel, Shopify, Wix, or similar platforms.
Experience in the grooming, pet, beauty, service, or retail industry is a plus, but not required.
