Summary of Responsibilities
Provide administrative support and assist the management team and staff in carrying out the mission in the day-to-day operation of the business.
Specific Duties
- Open and close the office at the established time for normal hours of operation.
- Answer telephone and forward calls to the appropriate person.
- Respond to inquiries and requests for general information about business services.
- Receive mail and forward it to the appropriate person.
- Carry out general administrative duties: typing, faxing, copying, and filing.
- Handle general correspondence via typed letter or email as appropriate. Obtain executive management approval for all correspondence requiring a signature.
- Follow procedures for organizing, copying, and filing information, including adherence to protocols for securing medical records.
- Assist with ordering and maintaining inventory of office supplies, materials, and consumer care equipment as needed.
- Assist management with collecting, monitoring, and tracking statistical data and other required information for quality assurance, performance improvement activities, state inspection surveys, and annual program evaluations.
- Promptly inform management of any situation that compromises the safety and security of the office, such as water leaks, heating/hot water issues, or plumbing problems.
- Provide relief coverage for other administrative staff during breaks and lunch.
- Provide ongoing administrative support to executive management.
- Schedule for the clinical team (Psychiatrist, NP-Psych, RN, Therapist, etc.) by creating consumer schedules and providing appointment reminders prior to appointments.
- Perform other duties as requested.
Qualifications, Education & Experience
- High school diploma required; some college preferred.
- Computer literate with experience in Excel, Word, and PowerPoint.
- Minimum 1 year of experience as a secretary, administrative assistant, or clerk performing general office work.
- Must possess strong verbal and written communication skills.
- Ability to work effectively with a diverse, multi-cultural consumer population.
- Comfortable working in a home health/community-based service environment.
- Medical clearance confirming good health and freedom from communicable illness.
- Criminal background check with no felony conviction.
- Excellent communication skills, a friendly demeanor, and ability to thrive in a fast-paced environment.
Physical Demands
This role requires walking, standing, reaching, bending, and climbing stairs. Duties may involve moving supplies and equipment, lifting packages containing books and materials, and sitting at a desk for extended periods.
Schedule & Compensation
- Job Types: Full-Time, Contract
- Pay: $16.00–$18.00 per hour
- Expected Hours: 40 per week
- Shift: 8-hour day shift, Monday through Friday
