We are seeking a highly organized, service-focused Hospitality Coordinator to support daily office operations and deliver an exceptional client and guest experience. The Hospitality Coordinator will support conference services, catering coordination, office operations, inventory management, and client support while ensuring the highest level of professionalism and customer satisfaction.
Key Responsibilities
- Register and manage visitors within the building’s visitor management system
- Monitor inventory levels and coordinate supply reorders as needed
- Assist with monthly invoices, billing spreadsheets, and maintaining organized records
- Support day-to-day operational requirements while ensuring excellent client satisfaction
- Respond promptly and professionally to requests, inquiries, and workplace issues
- Provide high-level customer service and support to clients, guests, and employees
- Assist with updating Site Operations Manuals, procedures, protocols, and activity reports
- Ensure communication boards, binders, and operational checklists remain current
- Support clients with special requests, projects, and event coordination
- Review meeting planner and catering request forms to coordinate food and beverage needs
- Set up conference and meeting rooms with catering, beverages, and service supplies
- Replenish food, beverages, and supplies during extended meetings or events
- Maintain cleanliness and organization of conference rooms, kitchens, copy centers, and hospitality areas
- Stock and maintain coffee stations and kitchen areas; load and unload dishwashers
- Coordinate food and beverage services for client-sponsored meetings and events
- Maintain hospitality equipment including refrigerators, soda dispensers, and water stations
- Track and maintain inventory of catering and hospitality supplies
- Compare pricing and product quality to support cost control initiatives
- Place and confirm catering and beverage orders while verifying invoice accuracy
- Conduct daily hospitality walkthroughs to ensure operational readiness
- Handle occasional last-minute shopping or urgent hospitality requests
- Participate in training seminars and development programs
- Provide backup reception coverage and assist with front desk responsibilities
- Support office moves and workstation preparation
- Assist additional departments or office locations as needed
- Perform other related duties as assigned
Qualifications
- Previous experience in hospitality, office services, conference services, customer service, or administrative support preferred
- Excellent communication and interpersonal skills
- HS Diploma is a must
- Strong organizational and multitasking abilities
- Ability to work independently and collaboratively within a team environment
- Professional demeanor with a strong customer-service mindset
- Proficiency with Microsoft Office applications including Outlook, Excel, and Word
