Position Summary
The Events Coordinator keeps NCVC’s signature events running smoothly from the first planning meeting to the final wrap-up. It’s a full-time, hands-on role where strong organizational skills meet the excitement of live events on Music City’s biggest stages.
Most days you’ll work across administrative logistics, vendor coordination, and event support to keep projects on track and stakeholders informed. You’ll also serve as a liaison to agencies, vendors, and NCVC staff, ensuring every detail reflects the professionalism and energy the NCVC brand is known for.
How your week tends to flow (roughly):
- Event administration & logistics – coordinate meetings, process invoices, manage supplies, track event insurance and credentials, support catering, and maintain master event summaries
- Stakeholder & vendor support – serve as liaison to State/Metro agencies, subcontractors, vendors, NCVC members, VIPs, and staff; maintain updated vendor database and event resource materials
- On-site event coordination – hands-on support at NCVC flagship events including Let Freedom Sing! Music City July 4th, New Year’s Eve Live: Nashville’s Big Bash, Music City Walk of Fame Induction Ceremonies, and other NCVC and client events

Key Responsibilities
- Coordinate administrative and logistical details across multiple NCVC events, including meeting prep, supplies, invoice processing, and distribution of event information.
- Support food vendor contract processing, credential and parking pass programs, event insurance and waiver coordination.
- Assist with catering logistics, event design support, and master event summary report management.
- Serve as a liaison with State and Metro agencies, subcontractors, facilities, vendors, concessionaires, talent, NCVC members, VIPs, and the general public.
- Maintain an updated and diverse vendor database and event resource materials.
- Assist with miscellaneous event and NCVC projects as needed, ensuring timely execution and clear communication.
Qualifications
- Strong organizational skills and attention to detail…you catch things others miss.
- Proficient with Microsoft Office suite (Word, Excel, Outlook, PowerPoint, Teams).
- Clear written and verbal communication; professional and service-oriented approach to stakeholders.
- Comfortable juggling multiple priorities and deadlines in a fast-paced environment.
- Team player who represents the Music City brand with positivity and professionalism.
- Ability to work nights, weekends, and holidays as event schedules require.
- Ability to lift 30 pounds.
Preferred
- 2+ years of experience in an office administrative or event-related role.
- Bachelor’s Degree preferred
- Experience working with vendors, contracts, or event logistics.
Additional Details
- This is a full-time, in-person position based at NCVC’s downtown Nashville office.
- On-site attendance at NCVC flagship events — including Let Freedom Sing! July 4th and New Year’s Eve Live — is required.
