Position Overview
As the Payroll Administrator, you'll be responsible for payroll tax compliance, regulatory maintenance, vendor coordination, and audit support. This role serves as the primary owner of payroll-related compliance and external reporting obligations, ensuring the organization remains in good standing across all jurisdictions and that payroll operations meet all regulatory requirements. The Payroll Administrator partners closely with Payroll, Accounting, HR, and external vendors to ensure accurate tax reporting, timely filings, and effective coordination of payroll-related processes.

Requirements
- Experience: 3+ years of payroll, payroll tax, or related accounting/HR operations experience
- Strong knowledge of federal, state, and local payroll tax regulations
- Experience with multi-state payroll environments
- Experience working in a SOX-controlled environment preferred
- Experience with ADP Workforce Now or similar payroll systems preferred
- Strong Excel skills and ability to manage and analyze data
- High attention to detail and strong organizational skills
- Ability to manage multiple priorities and deadlines
- Strong problem-solving and communication skills
- Ability to handle confidential information with discretion
Key Responsibilities:
- Own payroll tax compliance across federal, state, and local jurisdictions
- Manage tax registrations, account setups, and jurisdiction maintenance as the company expands into new states and localities
- Coordinate payroll tax filings and payments, ensuring accuracy and timeliness
- Monitor, research, and resolve tax notices and discrepancies with agencies and third-party providers
- Support quarter-end and year-end tax reporting activities, including 941s, W-2s, and other required filings
- Maintain documentation supporting all tax filings and compliance activities
- Manage file feeds to and from third-party vendors, including 401(k), ESPP, benefits providers, and other payroll-related partners
- Monitor file transmission schedules, validate successful delivery, and ensure timely processing
- Troubleshoot file errors and discrepancies in coordination with vendors and internal teams
- Maintain vendor contacts and serve as primary liaison for payroll-related vendor communications
- Ensure compliance with file format, timing, and reporting requirements
- Serve as the primary point of contact for internal and external payroll audits
- Manage audit request lists (PBCs), ensuring timely and complete responses
- Gather, organize, and maintain audit documentation and support files
- Coordinate with Payroll Specialist, Senior Payroll Analyst, Accounting, and HR to fulfill audit requests
- Track audit timelines, deliverables, and follow-ups to ensure compliance with deadlines
- Maintain an organized audit repository for recurring and future audit needs
- Process payroll-related accounts payable transactions, including vendor payments, tax payments, and employee-related disbursements
- Execute book transfers and support payroll-related financial transactions
- Maintain documentation supporting payroll-related financial activity
- Partner with Accounting to ensure proper documentation and tracking of payroll-related payments
- Support payroll processing activities during peak periods, including assisting with adjustments and data validation
- Assist in maintaining payroll calendars, compliance deadlines, and reporting schedules
- Support documentation and continuous improvement of payroll processes and procedures
- Partner with HR, Accounting, and Payroll team members to ensure data accuracy and operational efficiency
- Partner with Payroll Specialist to ensure smooth payroll execution and data flow
- Collaborate with Senior Payroll Analyst on tax discrepancies, audit items, and compliance-related matters
- Communicate effectively with internal stakeholders and external partners to resolve issues and ensure alignment
- Perform other duties and responsibilities as assigned to support payroll operations and organizational objectives

The base salary range for this position is dependent on experience and location. The final offer will be determined based on job-related knowledge, skills, and qualifications. This position may be eligible for other compensation, including bonuses and Restricted Stock Units (subject to company plans).
