Personal Executive Assistant – Tax & Administrative Support
Location: Largo, FL
Job Type: Flexible schedule depending on preference. (Hybrid after training)
Pay: Competitive, based on experience, $25.00 - $28.00 per hour to start.
Schedule: We are incredibly flexible outside of tax season, allowing for anywhere from 20-40 hours per preference of team member.

About the Role:
We’re looking for a highly organized, proactive Personal Executive Assistant to support the Firm Owner. This is a role for someone who is naturally detail-oriented, anticipatory, intuitive, and eager to take ownership. You’ll be the Owner’s right hand—helping maintain their schedule, managing communications, and taking administrative and operational tasks off their plate so they can focus on high-level client work and firm leadership.
This position requires a blend of executive support, administrative operations, inbox management, workflow coordination, and light accounting support within a tax firm setting.
Experience within a tax or accounting environment is strongly preferred. You don’t need to be a tax preparer, but you must understand enough to recognize priorities, identify urgent items, and know when to step in.
Key Responsibilities -
Executive Support & Communication
-Manage and respond to emails on behalf of the Owner, including prioritizing, organizing, and maintaining an efficient inbox system.
-Monitor the Owner’s cell phone for texts, calls, and time-sensitive communications.
-Draft and send professional correspondence as needed.
-Keep the Owner informed of high-priority tasks, upcoming deadlines, and items requiring their review or approval.
Administrative Task Management:
-Manage and operate the Owner’s Karbon task system to track, organize, and support administrative tasks.
-Take ownership of the majority of administrative tasks as proficiency grows.
-Support client onboarding and administrative workflow processes for both tax and accounting clients.
-Maintain organization across digital systems, email folders, and internal task management tools.
Scheduling & Calendar Coordination:
-Maintain and organize the Owner’s schedule, appointments, and deadline-driven tasks.
-Coordinate with the firm’s administrative team to ensure the calendar is clear, accurate, and up-to-date.
-Ensure the Owner stays on track and prepared for meetings, commitments, and client needs.
Billing & Light Accounting Support:
-Handle billing tasks for tax and accounting clients.
-Assist with the Owner’s personal accounting responsibilities (training provided).
-Enter payroll as needed and ensure accuracy of time-sensitive entries.
What We’re Looking For:
-Proven experience as an Executive Assistant, Personal Assistant, or Administrative Assistant, preferably supporting a business owner, executive, or high-level manager.
-Exceptional attention to detail with the ability to anticipate needs before they arise.
-Highly reliable with excellent professional references.
-Strong written and verbal communication skills.
-Ability to organize complex schedules and manage multiple competing priorities.
-Experience in a tax, accounting, financial, or professional services environment strongly preferred.
-Comfortable learning new software and improving existing organizational systems.
-A proactive, self-starting personality with a desire to grow within the firm long-term.
Schedule & Work Environment:
-Daytime hours with flexibility, especially outside of tax season.
-In-office to start, transitioning to hybrid as training progresses.
-No nights or weekends except for occasional needs during peak tax periods.
