Key Responsibilities
- Contract Management (35%): Assist in the acquisition, negotiation, and renewal functions related to IT vendor contracts. Review, analyze, and create hierarchy for IT vendor agreements. Maintain and update various IT vendor databases to support workflow and departmental projects.
- Database Quality Assurance (35%): Perform quality reviews of databases to ensure agreements are entered correctly. Collaborate with staff to correct errors and advise on proper protocols.
- Training and Documentation (10%): Train and assist new employees with database processes and procedures. Create work instructions, procedures, and standards for databases.
- Vendor Registration (10%): Request vendor registrations from new and established vendors and assist IT Payables with finalizing required documentation.
- Reporting (10%): Create, review, maintain, and complete various reports for management.

- Required Software: Proficiency in Microsoft Office.
- Preferred Experience: 4 years of project coordination or related work experience, including 2 years in paralegal, legal assistant, or contracts roles.
- Preferred Software: Familiarity with Smart Cloud Control Desktop.
Education Requirements
- Required: Bachelor’s Degree
- Degree Equivalency:
- 4 years of job-related work experience or
- Associate’s Degree plus 2 years of job-related work experience
Experience Requirements
- Minimum: 4 years of project coordination or other related work experience
Required Skills & Technologies
- Proven Vendor Management experience
- Strong ability to communicate with executive-level management
- Hands-on experience with ServiceNow

- Manages wide-ranging customer needs with tight deadlines and busy end-of-quarter/year periods
- Occasional overtime may be required to meet critical deliverables

Day-to-Day Responsibilities
- Manage key vendor and contract activities, including vendor registration requests
- Support IT Payables by coordinating required documentation
- Assist with renewal functions for critical IT vendor contracts
- Review and analyze reports for senior leadership
- Collaborate closely with the Chief Negotiator, IS Negotiation Team, and key vendors
- Maintain and update IT vendor databases to ensure data accuracy and efficient workflow
- Support departmental projects and contribute to overall process improvements
