Administrator – Helen Diller Family Preschool

The Helen Diller Family Preschool is seeking a highly organized and customer-focused Administrator to support the daily operations of our preschool. This role works closely with the Director and Assistant Director while serving as a key resource for staff, families, vendors, and community members.
Key Responsibilities
- Manage daily administrative and office operations for the preschool.
- Maintain databases, reports, records, and information systems.
- Coordinate admissions, enrollment, tours, and open house events.
- Manage attendance tracking and administrative processes.
- Handle credit card reconciliations, receipts, and related financial tasks.
- Maintain pantry inventory and place food and supply orders.
- Generate and distribute classroom, enrichment, and activity lists.
- Track kindergarten recommendation forms, deadlines, and acceptance updates.
- Support payroll administration and timesheet accuracy.
- Manage biometric access for preschool families.
- Coordinate school engagement app implementation and special projects.
- Support summer session logistics and family communications.
- Provide exceptional customer service to families and staff.
Qualifications
- 1–3 years of administrative or office experience.
- Strong Microsoft Office skills, including Excel.
- Experience with Salesforce or similar CRM/database systems.
- Excellent communication, customer service, and organizational skills.
- Ability to manage multiple priorities and deadlines.
- High level of professionalism, confidentiality, and discretion.
- Experience in a school or early childhood environment preferred.
Physical Requirements
- Ability to work on a computer throughout the day.
- Occasional light lifting and carrying.
