Front Office Shop Manager

Wagenmasters is looking for a Front Office Shop Manager to keep our front office organized and our restoration projects moving. This person will be the main point of contact for clients, coordinate closely with the shop team, and make sure estimates, approvals, schedules, and invoices are handled accurately and on time.
Our work ranges from mechanical repairs to full restorations. The right person understands that each vehicle has its own scope, timeline, and surprises—and knows how to keep clients informed as the work progresses.
Responsibilities
* Respond to calls, emails, and new project inquiries in a professional, timely manner.
* Schedule vehicle drop-offs, inspections, client visits, and pickups.
* Open and maintain work orders with clear vehicle details, client requests, technician findings, and approved work.
* Help prepare estimates, track client approvals, and communicate changes in scope before additional work begins.
* Coordinate with technicians, fabricators, interior staff, and outside vendors to track project progress and next steps.
* Order and track parts, follow up on backorders, and flag anything that may affect a project’s schedule.
* Prepare invoices, collect payments, and maintain accurate records of deposits and balances.
* Give clients clear, honest updates and follow through on questions or concerns.
* Keep the front office organized and help improve the systems that support day-to-day shop operations.
Qualifications
* Experience managing a front office or coordinating work in an automotive repair, restoration, or similar service business.
* Strong organization and follow-through, with the ability to manage several active projects at once.
* Clear written and verbal communication skills.
* Comfort working with estimates, invoices, scheduling software, and detailed records.
* Ability to discuss technical findings with the shop team and explain them clearly to clients.
* Good judgment when handling changing schedules, unexpected repairs, and customer concerns.
* Familiarity with classic air-cooled Volkswagens or Porsches is a strong plus.
