We are seeking an experienced, dependable, and highly organized **Director of Maintenance** to lead maintenance operations across our residential portfolio.
## About the Role
This is a director-level leadership position responsible for the complete maintenance process, including work-order management, vendor coordination, estimates, emergency response, property turns, cost control, quality assurance, and communication with residents and property owners.
The Director of Maintenance will supervise one full-time **Maintenance Coordinator**, establish clear priorities, and ensure maintenance matters are handled promptly and professionally from initial report through final completion.
This is a high-volume, time-sensitive position that requires sound judgment, calm decision-making, consistent follow-through, and availability for daily maintenance needs and emergency repairs.
## Primary Responsibilities
### Maintenance Operations
* Oversee the complete work-order process, including intake, triage, troubleshooting, assignment, follow-up, documentation, and closeout.
* Prioritize requests based on urgency, safety, habitability, property risk, and cost.
* Coordinate daily repairs and respond appropriately to emergency maintenance situations.
* Ensure residents, owners, vendors, and internal team members receive timely and accurate updates.
* Monitor outstanding work orders, estimates, vendor assignments, and scheduled repairs through completion.
* Maintain complete records, including notes, invoices, estimates, photographs, approvals, and supporting documentation.
### Leadership and Department Management
* Supervise, train, and support one full-time Maintenance Coordinator.
* Establish clear priorities, expectations, and accountability within the maintenance department.
* Provide calm and decisive leadership during emergencies and periods of high work-order volume.
* Identify process gaps and implement procedures that improve departmental efficiency, communication, and follow-through.
* Work closely with the property-management, leasing, inspection, and accounting departments.
### Vendor and Cost Management
* Source, evaluate, and manage qualified vendors.
* Maintain required vendor documentation, including insurance, licenses, and tax information.
* Obtain and compare estimates, negotiate pricing, and prevent unnecessary costs or scope increases.
* Review estimates and invoices for accuracy and ensure proper owner approval when required.
* Monitor vendor performance, workmanship, responsiveness, pricing, and callback rates.
* Maintain a reliable preferred-vendor network across the Phoenix metropolitan area.
### Resident and Owner Communication
* Communicate professionally and promptly with residents and property owners regarding repairs, access, timelines, costs, and completion.
* Help owners understand repair recommendations and make informed decisions.
* Handle escalated concerns with professionalism, empathy, and a solutions-focused approach.
* Maintain a resident-focused service mindset while protecting the interests of the property and its owner.
### Emergency Response and Risk Management
* Direct the response to urgent matters such as water intrusion, HVAC failures, electrical hazards, sewer backups, gas concerns, and property-security issues.
* Coordinate emergency mitigation, restoration services, documentation, and owner communication.
* Assist with insurance claims by organizing photographs, reports, estimates, scopes of work, and communications with adjusters and restoration vendors.
* Maintain familiarity with Arizona habitability requirements, property-access requirements, and other applicable landlord-tenant obligations.
### Property Turns and Preventive Maintenance
* Plan and oversee make-ready turns, including scopes of work, estimates, scheduling, quality control, and final punch lists.
* Monitor completion timelines to reduce vacancy periods and avoid unnecessary delays.
* Develop and oversee preventive-maintenance procedures for major property systems.
* Ensure completed work meets company standards and is properly documented.
### Systems, Compliance, and Quality Control
* Maintain accurate and current information in AppFolio or other applicable property-management systems.
* Establish and enforce maintenance procedures, checklists, documentation standards, and quality-control practices.
* Require appropriate before-and-after photographs and supporting documentation.
* Monitor key performance indicators such as response times, completion times, vendor performance, callbacks, and budget variances.
* Ensure proper key control, property-access procedures, resident privacy, workplace safety, and Fair Housing compliance.
## Qualifications
* At least four years of experience in residential property maintenance, property management, construction coordination, or facilities operations.
* Previous leadership or supervisory experience.
* Demonstrated experience managing a high volume of work orders, vendors, estimates, and emergency repairs.
* Working knowledge of residential HVAC, plumbing, electrical, appliance, roofing, and general property-repair issues.
* Strong vendor-management, negotiation, budgeting, and cost-control skills.
* Excellent written and verbal communication skills.
* Strong organizational, time-management, and problem-solving abilities.
* Ability to manage competing priorities and remain composed under pressure.
* Consistent responsiveness, accountability, and attention to detail.
* Experience using AppFolio, Buildium, Yardi, Property Meld, or similar property-management software.
* Ability to review scopes of work, estimates, invoices, and repair documentation.
* Working knowledge of Arizona landlord-tenant requirements involving habitability, access, and notice.
* Valid driver’s license, reliable transportation, and the ability to pass a background check.
## Preferred Qualifications
* Experience managing insurance claims and working with adjusters or restoration companies.
* Residential trade experience or familiarity with Arizona Registrar of Contractors requirements.
* Bilingual in English and Spanish.
* Experience developing preventive-maintenance programs and standardized property-turn procedures.
