Pay Rate: $18.00
Work Schedule
Shifts are typically eight hours (occasionally six hours) and generally scheduled between 7:00 a.m. – 3:30 p.m. or 3:00 p.m. – 11:30 p.m. Campus Operations provides support seven days a week; therefore, flexibility to work weekdays, evenings, weekends, and occasional holidays is required based on operational needs.

Position Summary
The Receptionist & Campus Services Coordinator serves as the first point of contact for students, faculty, staff, visitors, and vendors, creating a welcoming and professional experience for everyone who enters Pacifica Graduate Institute.
This position provides reception, administrative, and campus support services while helping ensure the smooth daily operation of campus facilities. The role requires exceptional customer service, strong organizational skills, attention to detail, and the ability to prioritize multiple responsibilities in a fast-paced environment while maintaining confidentiality and professionalism.

Essential Duties and Responsibilities
Reception & Guest Services
• Serve as the primary receptionist for the campus by welcoming visitors, answering questions, and directing guests to appropriate locations.
• Answer and route incoming telephone calls and respond to general email inquiries.
• Check in guests using designated visitor management systems.
• Maintain a professional, welcoming reception area and lobby environment.
• Update digital welcome displays and campus communication boards.
• Maintain the campus Lost and Found program.
Campus Operations Support
• Open and close reception areas and designated campus facilities according to established procedures.
• Assist with campus mail distribution and internal deliveries.
• Coordinate signage for meetings, events, and campus activities.
• Monitor daily campus schedules and assist with room setups and event support as needed.
• Coordinate with Facilities regarding maintenance requests and operational issues.
• Maintain campus safety logs, daily reports, and other required documentation.
• Support wellness initiatives, including coordinating massage appointments when applicable.
Administrative Support
• Provide clerical and administrative assistance to Campus Operations and other departments as assigned.
• Monitor office and reception supply inventory and notify supervisor when replenishment is needed.
• Maintain organized reception workspaces, tea stations, and common areas.
• Assist with bookstore sales or other campus services as trained.
• Follow established departmental procedures and maintain current knowledge of campus operations.
• Perform other duties as assigned.

Education and Experience
• High school diploma or equivalent required.
• One to two years of receptionist, administrative support, hospitality, customer service, or related experience preferred.

Knowledge, Skills and Abilities
• Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
• Familiarity with standard office equipment and administrative technology.
• Bilingual communication skills are preferred but not required.

Physical Requirements
This position requires prolonged periods of sitting and standing, frequent walking throughout campus, and regular use of office equipment, including computers and telephones. The employee may occasionally bend, reach, stoop, and lift or move materials weighing up to 20 pounds. This position works in an active campus environment with frequent interaction with students, faculty, staff, and visitors. The role requires flexibility to work varying shifts, including evenings and weekends, based on campus programming and operational needs.
