The Club Receptionist for the Mission Viejo Country Club must present a warm and welcoming attitude in a professional manner. Front office appeal is required. This position involves heavy member/customer service including extensive telephone skills. The receptionist will participate in all administrative functions such that effective oral and written communication skills are necessary plus familiarity with office equipment such as computers, Fax machine and copy machine. The receptionist must possess strong organizational skills, must be able to prioritize and must be able to manage multiple tasks. The receptionist must be an independent, self-motivated individual.
Essential Functions of the Job:
Must have a “member-service” attitude. Must be able to perform several tasks at one time. Needs to be aware of what is happening at the Club at all times in order for “Control Central” to function properly.
Principal Job Responsibilities:
• Meet and greet all members (by name when possible) and guests of the club
• Answer and direct all incoming calls to the club
• Monitor the MVCC security gate entrance and other security venues
• Control and issue the security gate transponders
• Control the security tapes
• Monitor and control the reservation system
• Regular, monthly and unexpected mailings. Mailings will involve copying, labeling, postage, and stuffing of prepared material from other staff members
• Support to all Department Heads and other staff as needed
• Mail and Fax Distribution
• Help with special projects as needed
• Preparation of the Board Books for the monthly Board of Directors meeting
• Monitor the dress code
• Control the lost and found
• Maintain the lobby appearance and ambiance
• Other duties as required
Essential Education and Experience Requirements:
• Minimum of a High School degree or equivalent,
• Minimum of one year related experience is required,
• Must be computer literate in Microsoft Word and have a working knowledge of Excel and desktop publishing,
• Ability to interact and communicate in an effective and professional manner with club member and all levels of internal staff.
