Position Overview
The Training and Operations Coordinator provides comprehensive administrative and operational support to the Chief Pilot, ensuring the smooth execution of day-to-day activities within the aviation department. This part-time role focuses on coordinating pilot training, scheduling, record-keeping, manual editing, auditing, pilot hiring, and other administrative tasks to support operational efficiency and regulatory compliance. The ideal candidate is highly organized, detail-oriented, demonstrates confidence and competence in handling tasks, and thrives in a fast-paced aviation environment.
Key Responsibilities
- Scheduling and Coordination:
- Schedule pilot training sessions, check rides, and events where the Chief Pilot serves as the check airman or trainer.
- Coordinate logistics for training and checking events, including securing facilities, equipment, and necessary documentation.
- Update and maintain pilot work schedules, ensuring compliance with regulatory requirements and operational needs.
- Record-Keeping:
- Track and manage pilot training records, certifications, and expiration dates to ensure compliance with FAA regulations and company policies.
- Maintain accurate and up-to-date documentation for all training and checking activities.
- Manual Editing:
- Assist in editing and updating operational manuals, ensuring accuracy, compliance, and alignment with current regulations and company standards.
- Utilize AI tools to assist with drafting, editing, and formatting manuals and other project-related documents.
- Audits and Compliance:
- Conduct internal audits of training records, schedules, and operational documentation to ensure regulatory compliance and adherence to company procedures.
- Assist in preparing for external audits by regulatory bodies or third-party organizations.
- Pilot Hiring Process:
- Participate in the pilot hiring process by screening candidate applications and resumes for qualifications and compliance with company standards.
- Conduct initial interviews to assess candidates’ suitability, coordinating with the Chief Pilot and other stakeholders for further evaluation.
- Administrative Support:
- Perform general administrative tasks, including correspondence, filing, and data entry, to support the Chief Pilot’s operational responsibilities.
- Handle ad-hoc tasks as assigned, leveraging AI tools where applicable to enhance efficiency in project completion.
Qualifications
- Education: High school diploma or equivalent required; associate’s or bachelor’s degree is preferred.
- Experience:
- Prior administrative or operational experience in aviation or a technical environment is a plus, but not required.
- Demonstrated ability to handle tasks with confidence, efficiency, and attention to detail is essential.
- Experience in recruitment, candidate screening, or interviewing is a plus.
- Familiarity with aviation operations, pilot training, or FAA regulations is highly desirable.
- Experience using AI tools (e.g., language models, automation software) for document editing, data analysis, or project management is highly desirable.
- Skills:
- Exceptional organizational and time-management skills with a keen attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.), scheduling software, and AI-based tools for document editing and project support.
- Strong written and verbal communication skills for editing manuals, conducting interviews, and coordinating with team members.
- Ability to prioritize tasks and work independently in a dynamic, fast-paced environment.
- Knowledge of aviation terminology, training requirements, or regulatory compliance is highly desirable.

Working Conditions
- Part-time position, working Tuesday, Wednesday, and Thursday, with occasional flexibility required for scheduling, event coordination, or candidate interviews.
- Work primarily in an office environment, with occasional visits to training facilities or operational sites.
- May require availability for urgent tasks or schedule changes to support operational needs.
