Faith Based Nonprofit Organization is seeking a dependable, organized and compassionate Client Services Assistant to support attorneys, paralegals, real estate agents, mortgage agents, and loss mitigation experts with clients in a fast-paced mortgage, real estate ,loss mitigation and legal-services environment.
This position is ideal for an experienced customer-service professional who wants to build a long-term career in the mortgage, real estate, legal and loss mitigation field. Prior law-office - mortgage or real estate experience is helpful but not required. Training will be provided to the right candidate.
The successful candidate must communicate clearly, remain calm under pressure and provide consistent follow-up to clients who may be experiencing stressful legal, financial or housing-related circumstances.
Primary Responsibilities
• Serve as a professional point of contact for clients
• Answer incoming calls and route legal questions to the appropriate attorney, paralegal, realtor or mortgage broker.
• Provide approved case-status updates under attorney or paralegal or licensed agent direction
• Schedule appointments, consultations and client follow-up calls
• Assist clients with completing forms and submitting requested documents
• Track missing information and follow up with clients regarding outstanding items
• Enter detailed notes into the company’s case-management system
• Scan, upload, organize and maintain electronic client files
• Prepare routine correspondence, status reports and administrative documents
• Coordinate communication between clients, attorneys, paralegals and support staff
• Assist with intake, document collection and case-opening procedures
• Identify urgent client concerns and promptly escalate them to the appropriate legal professional
• Maintain professionalism, confidentiality and courtesy in every interaction
Required Qualifications
• At least 3 years of professional customer-service, client-relations or administrative experience
• Excellent telephone and interpersonal communication skills
• Strong organization, follow-up and attention to detail
• Ability to manage a high volume of calls, emails and client requests
• Ability to remain patient and professional with stressed or frustrated clients
• Dependable attendance and punctuality
• Strong written communication and accurate data-entry skills
• Ability to follow established procedures and attorney instructions
• Comfortable working with confidential and sensitive information
• Proficiency with email, Microsoft Office, PDF documents and basic office technology
• Genuine interest in developing a long-term career in the legal field
Highly Preferred
• Bilingual English and Spanish
• Prior experience in a law office, mortgage company, real estate office or financial-services environment
• Familiarity with case-management or customer-relationship-management software
• Experience assisting clients facing foreclosure, eviction, probate or other legal matters
• Experience handling escalated customer-service concerns
• Experience working under multiple supervisors
Training and Advancement
The selected candidate will receive training in legal-office procedures, client intake, case support, document management and professional legal communication.
Employees who demonstrate reliability, sound judgment and strong performance may be considered for advancement into legal administration, case coordination, paralegal support, real estate, mortgage banking or loss mitigation roles.
Depending on the employee’s career path and qualifications, the company may assist with approved education, training or professional credentialing.
