Job Summary
We are seeking a detail-oriented Administrative Assistant to support daily operations in a fast-paced manufacturing environment. The ideal candidate will provide administrative support, maintain accurate records, assist with production documentation, and communicate effectively with internal teams, vendors, and customers.
Responsibilities
Answer phones, emails, and greet visitors professionally.
Maintain production, inventory, and shipping documentation.
Enter data accurately into ERP systems and Microsoft Office applications.
Prepare reports, spreadsheets, and correspondence.
Assist with scheduling production meetings and maintaining calendars.
Coordinate office supplies and administrative purchases.
Process purchase orders, invoices, and other operational paperwork.
File and organize quality, safety, and production records.
Support Human Resources with onboarding paperwork and employee files as needed.
Communicate with vendors, customers, and warehouse personnel regarding orders and deliveries.
Perform general clerical duties including copying, scanning, filing, and document management.
Assist management with special projects and other administrative tasks.
Qualifications
Required
High school diploma or GED.
2+ years of administrative experience, preferably in a manufacturing or warehouse environment.
Proficiency in Microsoft Office (Excel, Word, Outlook).
Strong data entry skills with excellent attention to detail.
Excellent verbal and written communication skills.
Strong organizational and time management abilities.
Ability to multitask and prioritize in a fast-paced environment.
Reliable transportation and dependable attendance.
Preferred
Experience with ERP or MRP systems.
Knowledge of purchasing, inventory, or production processes.
