Benefits / Office Assistant
Established downtown law firm seeks individual with benefits and/or back office assistant experience to support the day-to-day administrative operations of the firm. Ideal candidate will have exceptional organizational, time management and communication skills. We are looking for a friendly team-player who is willing to provide firm-wide assistance where needed and has the desire for professional growth.
Hours: Monday – Friday, 9:30 AM - 5:30 PM
Overview of Job Responsibilities:
• Manage and administer group health benefits: medical, dental, vision, life insurance and flexible spending plan
• Coordinate annual benefit open enrollments
• Process employee benefit changes, terminations and monthly insurance bills
• Administer COBRA
• Assist Office Administrator in completing benefits reporting requirements
• Responsible for accurate benefits and general employee record maintenance
• Update group health plan documents and revise employee/attorney manuals when needed
• Assist employees with basic interpretation of benefit plans and basic HR policies and procedures
• Have general knowledge of (or willing to learn) employment laws and practices and stay abreast of the changing laws
• Post and/or distribute required notices as needed
• Maintain confidentiality with sensitive employee information
• Data entry of Accounts Payable twice a month
• Assist with planning and scheduling firm events
• Create and distribute weekly firm e-newsletter (internal)
• Develop and maintain constructive, cooperative and positive working relationships with others
• Able to identify and resolve problems in a timely manner; be a resource for the firm
• Other tasks assigned by Office Administrator
• Above all, work with all administrative departments to ensure firm runs efficiently and smoothly
Skills & Qualifications:
• College degree is required
• One year of general office experience is required
• Excellent computer skills, specifically Windows 10 or 11 and Microsoft Office: Word (knowledge of styles is a plus), Outlook, Excel
• Accurate database management and record keeping
• Effective customer service and interpersonal skills
• Ability to balance multiple tasks simultaneously; self-motivated
• Able to work both collaboratively as a team and independently with minimal supervision
• A keen eye for details and a personal commitment to deliver consistent, quality results
• Excellent oral and written communication skills; good listener with a calm demeanor
• Prior law firm experience is a plus but not required

Salary Range $48,000 to $55,000 per year
