As the Reception Assistant, you are the first point of contact for employees, visitors, partners, and candidates entering our offices. You shape the daily workplace experience by delivering a warm, professional, and brand‑aligned welcome. Your work enables a seamless, efficient, and positive environment, directly contributing to our focus on consumer centricity by supporting our people in doing their best work.
You help create a workplace that is productive, safe, and engaging by ensuring high‑quality front‑of‑house service, smooth operational support across the office, and exceptional coordination of visitor, meeting, and facilities needs. Through your role, you support the wider goals of operational efficiency, organizational clarity, and a unified experience across touchpoints.
This is a part-time role working Monday - Thursday, 8:30am-3:30pm onsite at our office in Downtown Portland.
CORE ACCOUNTABILITIES
- Deliver a consistent, professional, and welcoming reception experience that reflects the Dr. Martens brand.
- Manage front desk operations, including answering and routing calls, monitoring the front door and visitor access, and handling general inquiries.
- Maintain accurate and up‑to‑date administrative and contact information across relevant systems.
- Process incoming and outgoing mail, courier shipments, and daily mailing tasks, supporting internal teams where needed.
- Maintain and replenish office, shipping, and kitchen supplies, drinks, snacks, ensuring stock levels align with business needs.
- Prepare welcome materials and coordinate with HR and Workplace Experience teams to support employee onboarding.
- Manage conference room bookings, calendars, and meeting logistics, including set‑up, catering coordination, and technology readiness.
- Assist Office Experience Specialist in tracking parking allocations and maintain updated records of available spaces.
- Route building maintenance requests to Office Experience Specialist and collaborate with third‑party vendors and internal teams.
- Maintain the reception area and communal spaces to a high standard, ensuring safety, cleanliness, and brand alignment.
- Support business meetings, office events, and workplace‑related projects as needed.
- Ensure adherence to all security, safety, and visitor protocols.
- Act as a cultural ambassador - demonstrating our values and contributing to a positive and inclusive workplace environment.
KEY SKILLS & CAPABILITIES
Experience & Expertise
- Prior experience in a reception, front‑of‑house, or administrative role (2+ years preferred).
- Proficiency in Microsoft Office and core office technology (multi‑line phone systems, visitor management platforms, room‑booking tools).
- Strong communication, interpersonal, and customer‑service skills with a professional, friendly, and confident manner.
- Ability to work effectively in a fast‑paced, dynamic environment with multiple priorities and stakeholders.
- High level of organization, accuracy, and attention to detail.
- Sound professional judgement, confidentiality, and discretion.
- Ability to move office supplies and packages (up to 30 lbs regularly, up to 50 lbs occasionally), with or without reasonable accommodation.
- Ability to work at a standard computer set up for scheduled part-time hours, with or without reasonable accommodation.
