Executive Assistant to the President & COO

What You’ll Do
Executive Partnership & Leadership Support
- Manage complex calendars, scheduling, priorities, and daily executive operations with precision and efficiency
- Act as a trusted extension of the President & COO in interactions with internal teams, clients, and external stakeholders
- Prepare executive briefings, agendas, presentations, reports, and meeting materials
- Ensure leadership remains aligned, informed, and prepared for key initiatives and decisions
- Drive follow-through on action items, deliverables, and cross-functional communication
Operational Excellence & Strategic Execution
- Anticipate business needs, identify roadblocks, and proactively solve problems before they escalate
- Manage shifting priorities in a fast-paced environment while maintaining accuracy and professionalism
- Improve workflows, streamline processes, and support organizational efficiency
- Handle confidential and sensitive information with discretion and sound judgment
AI & Technology Integration
- Utilize AI tools such as ChatGPT, Microsoft Copilot, and Notion AI to improve productivity and operational efficiency
- Support automation of repetitive administrative tasks and reporting processes
- Draft executive communications, summarize meetings, and organize strategic information using technology-enabled solutions
Communication & Executive Presence
- Develop polished communications, presentations, and leadership materials
- Maintain strong relationships across departments and with external partners
- Communicate clearly, confidently, and professionally in high-level business settings
- Support leadership messaging and ensure consistency across communications
Meetings, Travel & Coordination
- Coordinate executive meetings, leadership reviews, and strategic planning sessions
- Capture meeting notes, decisions, and action items with strong attention to detail
- Manage travel arrangements, itineraries, and logistics while anticipating executive needs
- Ensure seamless coordination across schedules, meetings, and priorities
Qualifications
- 5+ years of Executive Assistant experience supporting senior leadership or C-level executives
- Experience working in high-growth, fast-paced, or performance-driven organizations preferred
- Exceptional organizational, multitasking, and time management skills
- Strong business acumen with the ability to prioritize effectively and operate independently
- Excellent written and verbal communication skills
- High emotional intelligence and strong interpersonal skills
- Advanced proficiency with Microsoft Office Suite, collaboration platforms, and AI productivity tools
- Bachelor’s degree in Business, Communications, or related field preferred
