The Accounting Manager is expected to review daily GL activities, review reporting packages for accuracy and review daily distribution reports. As a key member of our finance team, the Accounting Manager will oversee all payroll functions, ensuring accuracy, compliance, and efficiency in processing payroll for our dedicated team members. The Accounting Manager is responsible for managing and processing payroll in a timely and accurate manner while ensuring compliance with federal, state, and local payroll regulations. This role involves handling payroll-related reporting, auditing, and system maintenance while serving as the primary point of contact for payroll inquiries. Detail job description includes (but not limited to) the following tasks.
Responsibilities
Customer Service:
- Respond to inquiries from our owners, guests, fellow colleagues, clients and vendors
Property Management / HOA Systems:
- Control the condo owner changes in Owner Relations
- Issue Monthly ACH/Checks to condo owners
- Control short term rental certificates and reporting
Month End
- Reconcile balance sheets related to AR/Related Parties
- Reconcile balance sheets related to fixed assets
- Taxes – File TOT and CA Sales Tax
- Reconcile balance sheets related to owner liabilities
- Reconcile balance sheets related to payroll
- Prepare and post journal entries
Financial Reporting
- Assist with Internal/external audit
- Assist with Quarterly inventory audit
- Assist with HOA audit assisting as needed
- Assist in preparing the property budget and forecast as needed
- Ensure full knowledge of all job responsibilities and support in the areas of accounts receivable, accounts payable. Income audit and general cashier
Payroll
- Oversee and process bi-weekly payroll for all resort employees, ensuring accuracy and timeliness.
- Maintain payroll records and ensure compliance with state and federal wage and hour laws, tax regulations, and company policies.
- Review overtime charges and ensure proper authorization forms are complete; resolve discrepancies with respective managers.
- Audit payroll data, including timekeeping records, deductions, and benefits, to identify and resolve discrepancies.
- Ensure proper processing of wage garnishments, tax withholdings, and other deductions.
- Collaborate with People Services and Finance teams on payroll-related matters, including new hires, terminations, and compensation adjustments.
- Generate and submit payroll reports, including tax filings, labor cost analysis, and financial reconciliations.
- Stay updated on payroll-related legislation and implement necessary updates to maintain compliance.
- Manage year-end payroll processes, including W-2 and ACA reporting.
- Provide payroll-related guidance and training to managers and employees as needed.
- Work with external vendors and auditors as required for payroll compliance and reporting.
- Ensure accurate service charge and tip, in balance with GL and Point of Sale system
- Review job transfer codes on timesheets.
- Maintain accurate record of all payroll issued checks and ensure security of all blank check stock.

Qualifications
Education and/or Experience
- High School graduate or general education degree (GED)
- College level accounting classes is preferred
- Accounting degree a plus
- Hospitality experience a plus
- Two years of accounting or related field experience.

- Experience with payroll software and timekeeping systems (ADP, UKG, or similar preferred).

- Ability to handle sensitive and confidential information with discretion.
- Strong problem-solving skills and the ability to work in a fast-paced environment.
- Proficiency in Microsoft Excel and other financial reporting tools.
- Ability to stand-sit for long periods of time.
