Hunton Andrews Kurth LLP, an international law firm, is actively recruiting an Administrative Assistant in our Austin office. This position acts as initial point of contact and client service representative for clients and other visitors to the office. Provides reception, messaging, and administrative support for legal teams, clients and the firm.
Responsibilities And Accountabilities
- Provides front desk reception support, greeting clients and visitors in a prompt and courteous manner, determining their needs and notifying appropriate person(s) of arrival. Ensures reception area space is neat and orderly at all times; reports any physical defects to Office Administration. Handles calls on Zoom and promptly distributes telephone calls to the proper attorney or staff person. Assures that every reasonable attempt is made to see that the caller’s needs are met. Places callers into voicemail or takes accurate messages and ensures prompt delivery when necessary.
- Assists visitors with administrative, business, and travel inquiries and support, as needed. Validates client requests for parking while visiting the firm. Maintains and reconciles parking validation log for month-end processing.
- Provides general administrative support for local and firm-wide departmental needs, projects, and initiatives, to include, but not limited to, firm Records and File Transfer projects, Lawyer Recruiting & Development and HR recruiting and evaluation meeting set up, Marketing & Business Development initiatives, local Library maintenance, Operations and Information Technology support.
- Provides general administrative backup support for legal teams and to attorneys including, but not limited to, time entry, timely processing of expenses, answering telephones (forwarded to front desk), reviewing and routing internal and external mail and managing client matter files and folders.
- Performs other projects as assigned.
Qualifications
- Education: High school diploma or equivalent required. College degree preferred.
- Experience: Experience in a professional services office or other legal support experience preferred. Knowledge of Microsoft Office required.
- Other Qualifications: Exceptional written and verbal communication and listening skills. Accurate typing, word processing skills and ability to pay strict attention to detail. Spelling, punctuation and use of grammar must be of high quality. Must have strong organizational skills. Ability to work well under pressure, patience, diplomacy, high stress tolerance, ability to prioritize workload and adapt to changing conditions. Visual acuity needed for transcription, extensive reading and moderate or advanced keyboard usage. Ability to sit or stand for extended periods of time. Ability to receive and convey detailed information through both written and oral communications. Ability to lift, carry, reach, stoop or bend, at times repetitively, for tasks involving filing or movement of files/supplies weighing up to 5-10 pounds. Essential competency processes include language ability, reasoning and memory. Ability to maintain flexibility regarding work assignments to work overtime on short notice required. Ability to work in a cooperative manner as a member of a team. To perform this job successfully, the incumbent must possess the abilities or aptitudes to proficiently perform each of the responsibilities and accountabilities described above, with or without reasonable accommodation.
