Position SummaryThe Executive Talent Coordinator is a mission-critical operator who ensures Empower's executive hiring runs at a world-class standard. More than a scheduler, this role is the backbone of our executive recruitment function-driving precision, velocity, and polish at every stage. The Coordinator manages complex calendars, ensures flawless interview orchestration, and delivers a white-glove candidate experience that strengthens Empower's reputation as an employer of choice. Leveraging AI-driven scheduling, communication, and reporting tools, this role safeguards data integrity, accelerates decision-making, and optimizes workflows to keep Empower ahead of the market. As a trusted partner across recruiters, executives, and cross-functional teams, the Coordinator amplifies impact by removing friction and ensuring seamless collaboration. Success in this role means candidates leave the process impressed, executives remain fully engaged, and Empower secures transformational leadership talent faster than competitors-every time. You will be an advocate for executive candidates, and do everything you can to limit interview cancellations and reschedules caused by our internal hiring teams.
Duties and ResponsibilitiesPrecision Interview Coordination
- Masterfully coordinate executive-level calendars across multiple time zones using AI-powered scheduling.
- Drive interview velocity by anticipating conflicts, resolving issues instantly, and maintaining process momentum.
- Deliver flawless logistics, confirmations, and interviewer briefings with zero errors.
Executive Candidate Experience
- Craft polished, personalized communication that reflects Empower's mission and professionalism.
- Safeguard employer brand through elite candidate interactions that reinforce Empower's stature.
- Manage travel and onsite logistics with a white-glove standard that exceeds expectations.
Recruiting Systems and Data Discipline
- Maintain absolute accuracy in applicant tracking systems through disciplined AI-supported data management.
- Standardize workflows for scheduling, communication, and feedback to ensure fairness and consistency.
- Build executive dashboards with actionable metrics that improve hiring visibility and throughput.
Cross-Functional Collaboration
- Provide recruiters with operational leverage by handling scheduling and coordination independently.
- Partner with executive assistants, leaders, and stakeholders to ensure seamless coordination.
- Solve problems under pressure, restoring order quickly in high-stakes situations.
Operational Excellence & AI Integration
- Implement AI-driven tools to optimize candidate engagement, reporting, and coordination.
- Define clear priorities, actions, and metrics to align hiring operations with company goals.
- Constantly evaluate current processes, and recommend scalable systems and processes that elevate executive recruiting to global best-practice standards.
Knowledge and Skills- Expertise in executive-level scheduling, candidate engagement, and operational coordination, with proven ability to manage high-stakes processes under pressure.
- Driven to provide an excellent candidate experience, with a strong attention to detail.
- Exceptional written and verbal communication skills with the ability to engage stakeholders and executive-level candidates professionally and persuasively.
- Ability to design, standardize, and optimize workflows that balance speed, accuracy, and candidate experience in a hyper-growth environment.

Experience and Qualifications- 5+ years of experience in high-growth, fast-paced talent coordination or executive operations.
- Proven ability to design and manage recruiting systems, workflows, and reporting dashboards.
- Experience managing executive-level communications and candidate experiences with polish.
- Background in healthcare, pharmaceuticals, or life sciences a plus, but not required.
