Office Manager (Medical Billing Experience Preferred) – Mental Health Clinic

Lifespan Psychological Services is a well-established mental health clinic serving Bainbridge Island and the surrounding Puget Sound community since 1999. We are located in the beautiful Rolling Bay area, and our newly remodeled office provides a warm, professional environment for both patients and staff.
Our practice includes experienced, licensed psychologists providing therapy and in-depth psychological and neuropsychological evaluations for children, adolescents, and adults. We take a strength-based, positive psychology approach, helping individuals and families navigate challenges and improve overall well-being.
We are seeking a reliable, organized, and personable Office Manager to oversee day-to-day front office operations. This is a key role in a small, professional practice and is central to the smooth functioning of the clinic.
This role involves a mix of quiet and busy periods. Some parts of the day are calm while clinicians are in session, while other times require managing a higher volume of calls, scheduling needs, and patient interaction. The ideal candidate is comfortable working independently during slower periods and can remain organized and responsive during busier times.
General Responsibilities
Open and manage the office each day
Answer phones, respond to messages, and greet patients
Coordinate scheduling across multiple clinicians
Communicate with new and existing patients
Ensure intake paperwork and documentation are complete
Maintain a clean, organized, and welcoming office environment
Order supplies and manage deliveries
Provide administrative support to clinicians and trainees
Billing & Insurance Responsibilities
Verify insurance benefits and obtain preauthorizations
Submit claims and manage billing workflows within our EHR
Track and follow up on unpaid or denied claims
Communicate with insurance companies to resolve issues
Collect and process patient payments
Respond to patient billing questions
Maintain accurate and organized billing records
Billing responsibilities are performed under the supervision of the Clinic Director, with systems and support in place.
Qualifications
Organized, dependable, and able to work independently
Professional and warm with patients
Strong written and verbal communication skills
Comfortable learning new systems and technology
Comfortable managing billing and insurance-related tasks under supervision
Preferred Experience
At least 1 year of experience in a medical, dental, or mental health office required (2+ years preferred)
Experience with insurance verification, claims, or billing workflows strongly preferred
Familiarity with EHR systems
Position Details
32–40 hours per week
Monday–Friday, starting at 8:00 a.m.
Fully on-site in Bainbridge Island
