Job Description
Provides high level administrative support to a large staff with limited supervision. Requires someone who is proactive, detail-oriented, exceptionally skilled at multitasking, organization, and communication in order to maintain balance among multiple priorities.
Duties include, but are not limited to:
Schedule meetings, travel, and conference calls.
Take calls, respond to emails, and manage requests.
Draft and review letters, memos, reports, and invoices.
Conduct research, prepare statistical reports, and compile data for presentations.
Order supplies, maintain records, and perform basic record keeping.
Support other departments as needed.
Take notes and record minutes at meetings.
Prepare, proofread, and format complex reports, presentations, and contract/task order documents using standard software.
Greet visitors, determine visitors' needs and refer/escort visitors to appropriate team member(s).
Maintain conference room schedules.
Demonstrate ability to get along with coworkers, customers, and visitors.
Perform other duties as assigned by supervisor.
Job Requirements
Associate's Degree or higher from an accredited university and 10 years of administrative support experience OR 12 years of administrative support experience.
Must be a qualified typist (40 words or more per minute)
Must be proficient in the use of office equipment, including computers, scanners, fax, and copiers
Must be proficient in the use of Microsoft Office (Outlook/TEAMS/Word/Excel/PowerPoint) and Adobe Acrobat
Work professionally with individuals, diverse groups, and the public
Have well-developed time management and schedule coordination skills
Experience in providing clerical and secretarial support to a large origination (preferably Federal) with a formalized structure
Experience in preparing and developing correspondence, reports, memorandums, presentations, and other forms of communication for distribution across various organizations
Experience in reviewing correspondence for proper format, conformance with procedural instructions, grammar, typographical errors, accuracy and necessary attachments
