Food should nourish people, not end up in the landfill. Yet more than one-third of the food produced in the U.S. goes to waste, while more than 20% of people across the Bay Area struggle to put food on the table. Food waste is also a major contributor to climate change: if it were a country, it would be the third-largest source of greenhouse gas emissions in the world, ranking only behind the US and China.
ExtraFood is working to change that. Our mission is to end hunger and wasted food in the Bay Area. Through our point-to-point food recovery program, staff drivers and volunteers rescue fresh, excess food from businesses, schools, hospitals, farmers markets, and other donors and deliver it directly to community organizations serving children, families, seniors, and people experiencing homelessness.
Each year, ExtraFood rescues and delivers 5.5 million pounds of food from 300+ organizations delivering it to 250+ community sites, reaching more than 50,000 people every week.

Position Summary
The Food Recovery Operations Coordinator, in conjunction with the Food Recipient Partnerships Manager, is responsible for the day-to-day rescue and delivery of food for people in need by managing ExtraFood’s food rescue schedule. 2-3 days per week the Operations Coordinator will serve as the primary contact for food donors, nonprofit recipients and volunteers during the daily flow of food pickups and deliveries. The Operations Coordinator also plays a key role in maintaining the integrity of ExtraFood’s technology platform, including proposing and managing the implementation of enhancements to the system. This position requires consistent social engagement with stakeholders. 1-2 days per week the Operations Coordinator will spend time in the field assisting with recipient partner site visits.
ExtraFood is a fast-paced, dynamic environment; this position requires composure, attention to detail, and flexibility. You will make a significant difference in our community and will work with a dedicated team of staff and volunteers who are kind, supportive and energized by their mission. This is a full-time, exempt position, hybrid home & Marin-based office, with the requirement to work 1 day/week minimum at the Marin office. ExtraFood has implemented an optional 32 hour work week, and participating employees are responsible for occasional weekend and holiday operational coverage during the year.
Responsibilities
● Update and publish weekly food rescue schedules on Salesforce and the volunteer portal, ensuring each food rescue has a volunteer or staff driver as well as the most appropriate recipient partner.
● Manage phone calls, texts and email related to the day’s rescues. Respond to last minute changes to the schedule as they happen throughout the day.
● Manage spontaneous food donations including identifying the recipient and volunteer/staff driver.
● Schedule new regular donations – match to appropriate recipient, outline frequency, and review directions.
● Ensure Salesforce database is kept up to date related to key data on food donor, and food recipient records.
● Maintain timely updates of schedule-related data from food donors and recipient partners.
● Review volunteer rescue reports and escalate any significant issues.
● Monitor recipient partner sites proactively to ensure compliance with ExtraFood’s guidelines and to develop strong partnerships.
● Using your own vehicle to conduct recipient site visits, and occasionally food rescues.
Qualifications
The Operations Coordinator is part of the team responsible for ExtraFood’s 500+ food deliveries each week. They frequently interact with volunteers, staff, food donors, and recipient partners – in person, by phone, by email, and by text – and as such must have high standards for operational efficiency and for upbeat communication. Consequently, required skills/experience include:
● Passionate about our mission
● Highly proficient and fluent with technology, particularly MacOS, CRM, and iOS or Android apps
● Success working in a complex, fast-paced operation
● Highly detail-oriented; uses systems for organization and time-management. Able to move easily from one project to another and to prioritize quickly
● Communicates effectively: Speaks, listens and writes in a clear, thorough and timely manner using appropriate and effective communication tools
● Working vehicle, valid California driver’s license,car registration and car insurance
● Personal cell phone available for business use, small stipend available
● Able to lift and maneuver up to 25 lbs. safely
● Bachelor’s Degree
Preferred experience/skills:
● Experience with CRM databases, Salesforce preferred
● Ability to speak Spanish
