OverviewRPA San Diego, a subsidiary of Gallagher, operates as a third-party administration (TPA), consulting, and strategic management branch for collectively bargained benefit plans, pooled purchasing arrangements, and trusts. Our mission is to deliver high quality, affordable, and accessible health care to our members.
The Client Concierge Coordinator is responsible for ensuring the safety and well-being of personnel and guests at the VEBA Resource Center. The Client Concierge Coordinator is tasked with welcoming and registering all vendors and visitors, as well as escorting or granting access to specific areas of the facility. This role is a support position responsible for managing various tasks across multiple departments within the organization, as needed or assigned. Additionally, the Coordinator must patrol the premises to identify and address any unsafe hazards.
Role is budgeted at $50k with the ability to work 5x On Site within a 50 mile radius of San Diego at multiple site locations.
How you'll make an impact- Welcoming patrons and associates with a positive impression while assisting with opening the front door as they enter and exit the facility.
- Ensuring the work environment is clean and adheres to health and safety regulations under the direction of the Facilities Manager.
- Resolving facility and building maintenance issues at multiple locations as needed.
- Maintaining and adjusting the building's heating, cooling, ventilation systems, electrical and mechanical systems, and fire prevention equipment.
- May be assigned to work at multiple locations to resolve facility and building maintenance issues and or desk coverage.
- Assisting with deliveries such as FEDEX, UPS, USPS, Amazon, and other mail and courier deliveries in the building.
- Manage mail operations by efficiently processing incoming and outgoing mail in accordance with established procedures. Support outbound mail processing and ensure the proper maintenance of mailing equipment. Collaborate with all departments to address shipping requirements, palletizing, including document preparation, printing, envelope stuffing, and postage applications.
- Handle certified mail it’s documentation and tracking to ensure accurate record-keeping and timely delivery for departments.
- Order supplies, business cards, stationary, and envelopes for the office, breakroom, special events, projects through ODP, Amazon, and other vendors.
- Conducting daily and weekly office health and safety checks to identify and remove risks and hazards.
- Advising Care Coordinators and/or Care Coordinator Lead when departing or returning to the welcome desk.
- Generation of reports, management of data for projects, and other requests to support the Facilities Department.
- Conducting hourly patrols to inspect the premises, equipment, buildings, access areas, including garage and parking lot perimeters.
- Reporting unusual activities and suspicious behavior to our third-party security or police department.
- Capable of performing CPR and first aid techniques and procedures.
- Always Ensuring the environment is safe for members and employees.
- Confirming all access doors are closed at the end of the shift and reporting any concerns to the Facilities Manager.
- Participating in the development and implementation of companywide safety programs, such as fire protection and earthquake preparedness, including tracking and reporting. Conduct routine and follow-up safety drills.
- Respond to emergency situations.
- Perform all other duties as assigned
About You- High school Diploma and 3 years of related experience required
Preferred: - First Aid/CPR certified.
- Must have good communication and observational skills, as well as high emotional control.
- Builds and maintains favorable relationships with clients, vendors and other office staff.
- Strong written and verbal communication skills.
- Strong attention to detail.
- Excellent organization, planning, and communication skills.
- A collaborative mindset and ability to work with varying and changing needs.
- Ability to work independently.
- Ability to work 5x On Site within a 50 mile radius of San Diego at multiple site locations.
