Arctic Transport LLC — a refrigerated (reefer) transport company based in Washington State — is hiring a Head of HR & Admin to own hiring, onboarding, and the administrative backbone that keeps the company running. 🚛❄️
📈 We’re scaling toward 100+ trucks, and we need someone who can build the systems that make that growth possible — instead of just filling seats.
🎯 This role reports directly to the CEO and leads three departments:

🔥 What You’ll Own
✅ Hiring, end to end — defining roles, sourcing, screening, interviewing, and closing offers across the entire company.
✅ Onboarding — from offer acceptance through the 90-day check-in, so every new hire knows exactly what’s expected.
✅ The org chart & personnel records — kept accurate and current, not “last quarter’s version.” 📋
✅ Weekly reporting to the CEO — open roles, time-to-fill, turnover, onboarding status, and other key people metrics. 📊
✅ Developing your team — coaching three department heads into independent operators instead of doing everything yourself. 🚀
✅ Recognition, records & payroll coordination — partnering with Finance while keeping internal communication organized and running smoothly. 🤝💵
🔎 What We’re Looking For
✅ 3+ years in HR management — logistics, transportation, trucking, or operations experience is a big plus. 🚛
✅ Hands-on recruiting experience — you’ve personally sourced, screened, interviewed, and closed candidates. 🎯
✅ Systems builder — you’re comfortable creating processes from scratch, not just following existing ones. 🛠️
✅ Data-driven — you track headcount, turnover, time-to-fill, and onboarding progress, and you report results without being chased. 📈
✅ Familiar with US employment basics — including W-4, I-9, and offer letters. 🇺🇸📄
✅ Tech-comfortable — experience with HRIS platforms, Google Workspace, ClickUp, spreadsheets, and similar tools. 💻
✅ Direct communicator — you handle difficult conversations instead of avoiding them and stay calm under hiring pressure. 💬💪
