ELDAEON INC. is a hardware manufacturer in Azusa. We design and build precision electronic systems. We are looking for an experienced bookkeeper to work on-site with us, up to full-time 40 hrs/week.
This includes hands-on accounting work, not just data entry. Our books need a person who asks questions to our executive team about what a purchase was.
THE STANDARD
Most bookkeeping trades precision for throughput. A shop carrying hundreds of clients can't be exact on any one of them, so an entire Amazon order becomes one line against "equipment" and nobody opens the receipt. We've been on the receiving end of that and had to clean it up ourselves. We're not buying it again. We are hiring for precision and we will pay for the time precision takes.
THE WORK
- Catch-up reconciliation of roughly 14 months of QuickBooks Online activity (company formed June 2025), then ongoing monthly close.
- Reconcile all company card and bank accounts, plus payroll, each month.
- Categorize transactions individually against their source receipts. Amazon and other multi-item orders get split to the line-item level, no bulk rules, no vendor-level auto-categorization, no "same as last time."
- Untangle early-stage 2025 expenses spread across multiple company cards.
- Prepare and enter adjusting journal entries as part of the monthly close.
- Process accounts payable and accounts receivable: invoice entry, payment posting, transaction tracking.
- Track inventory and COGS (cost of goods sold) from components through finished goods.
- Flag each purchase for California sales/use tax treatment: parts for resale, qualifying manufacturing equipment, taxable items consumed in-house, or plain operating expense. Produce a quarterly use-tax accrual schedule for our CDTFA return that ties exactly to the purchase records.
- Maintain resale-certificate documentation.
- Deliver a monthly reconciliation report and an open-items list of anything missing documentation, listed, not guessed at.
- Prepare reconciled books for handoff to our outside CPA.
WHAT WE NEED FROM YOU
- Per-transaction reconciliation discipline. You reconcile against source documents rather than categorizing in bulk, and you can explain how you'd handle a mixed-purpose order. This is the most important item on this list.
- 3+ years of full-charge bookkeeping, including ownership of a monthly close. QuickBooks Online proficiency required.
- Books that tie out, a reconciled P&L, balance sheet, and chart of accounts that hold up to line-by-line review by an outside CPA.
- Working knowledge of California sales and use tax: resale certificates, the manufacturer/reseller position, use-tax accrual, and quarterly CDTFA returns that reconcile exactly to the underlying purchases.
- Receipt-level documentation habits. You attach source documents as you go and flag what's missing instead of guessing.
- Comfortable working on-site in Azusa and asking the CEO direct questions about transactions the paper trail doesn't resolve.
- Willing to have your work examined annually by an independent CPA firm.
- Proficiency with Microsoft Excel /Google Sheets.
NICE TO HAVE
- CPA, EA, or experience inside a CPA firm, or a track record of producing books a CPA signed off on without rework.
- Audit, review, compilation, or Agreed-Upon Procedures support, your own work has been examined by an outside party and it held.
- Inventory, COGS, or job-costing experience. Manufacturing, aerospace, electronics, or construction backgrounds all translate well.
- Experience with the CA partial manufacturing exemption (RTC 6377.1, form CDTFA-230-M).
- You've caught an underreporting or misclassification exposure before it reached a filing.
- Comfortable using automation or AI tooling for the mechanical parts of the work while personally standing behind every number that ships.
- Startup or early-stage company experience.
- Familiarity with common payroll and payment-processing platforms as bookkeeping data sources.
- Associate degree or higher in Accounting, Business, or a related field.
TERMS
- $20/hour.
- On-site in Azusa, CA. Up to 40 hours per week. Part-time is workable if that's what fits you.
