Compensation: Up to $100,000 base salary
Position Overview
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide direct support to the CEO and other senior executives. This individual will serve as a trusted partner, managing complex calendars, coordinating travel, preparing executive communications, and ensuring the leadership team operates efficiently.
The ideal candidate thrives in a fast-paced environment, anticipates needs before they arise, maintains the highest level of confidentiality, and can effectively manage multiple priorities with minimal supervision.
Experience supporting executives within the supply chain, logistics, transportation, e-commerce, retail, or technology industries is highly preferred, but not required.
Responsibilities
- Manage complex executive calendars, scheduling meetings across multiple time zones.
- Coordinate domestic and international travel, including flights, hotels, transportation, and itineraries.
- Prepare meeting agendas, presentations, reports, and executive correspondence.
- Screen and prioritize emails, phone calls, and meeting requests.
- Serve as the primary point of contact between executives and internal/external stakeholders.
- Track action items and ensure follow-up on key initiatives.
- Coordinate executive meetings, leadership offsites, board meetings, and company events.
- Maintain confidential business information with the utmost discretion.
- Process expense reports and assist with budget tracking.
- Assist with special projects and strategic initiatives as assigned.
- Support day-to-day administrative needs while anticipating executive priorities.
Qualifications
- 5+ years of experience supporting a CEO, President, Founder, or other C-level executive.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Ability to handle confidential information with professionalism and discretion.
- Experience managing multiple priorities in a fast-paced environment.
- Advanced proficiency with Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) and Google Workspace.
- Strong problem-solving skills with the ability to work independently.
- Bachelor's degree preferred.
Preferred Qualifications
- Experience in supply chain, logistics, transportation, manufacturing, e-commerce, or retail environments.
- Experience coordinating executive travel and board-level meetings.
- Background supporting rapidly growing or private equity-backed organizations.
- Familiarity with project management tools and expense management systems.
