Position Summary
The Program Coordinator serves as a primary point of contact for women veterans seeking support through Foundation for Women Warriors' programs. This position conducts intake assessments, identifies participant needs, coordinates appropriate program services, provides ongoing case oversight, and monitors participant progress toward achieving personal and financial stability.
The Program Coordinator is responsible for maintaining accurate client records, tracking program outcomes, supporting grant reporting requirements, and ensuring veterans receive high-quality, compassionate service throughout their engagement with the organization.
Essential Duties and Responsibilities
Veteran Support & Case Oversight
- Conduct intake interviews and comprehensive needs assessments to determine eligibility and appropriate program services.
- Identify barriers to services and develop strategies to help veterans successfully access available resources.
- Clearly communicate program expectations, eligibility requirements, timelines, and next steps.
- Provide ongoing case oversight through regular follow-up and quarterly check-ins.
- Assist veterans in developing personal budgets, setting financial goals, and improving financial literacy to promote long-term self-sufficiency.
- Support veterans in identifying and securing housing, childcare, and other essential community resources.
- Assist with applications and prepare documentation, including payment or check requests, as needed.
- Review veteran surveys and assessments to identify additional support needs and opportunities for long-term success.
Program Administration & Data Management
- Maintain accurate, timely, and complete case documentation within the organization's client management system.
- Ensure the integrity and confidentiality of client records while complying with organizational policies and funder requirements.
- Collect, monitor, and report program outcomes and grant-required performance metrics using Apricot or other designated databases.
- Conduct periodic audits of client files to ensure documentation accuracy and compliance.
- Collaborate with the team to support reporting, data analysis, and program evaluation.
- Prepare internal and external reports highlighting program activities, outcomes, and impact.
- Review veteran applications for completeness, accuracy, and financial sustainability.
- Maintain reporting calendars and ensure compliance with grant deadlines, reporting requirements, and program deliverables.
Program Support & Organizational Engagement
- Participate in staff meetings, trainings, community events, and professional development opportunities.
- Collaborate with team members on program improvements, special projects, and strategic initiatives.
- Contribute to the ongoing development and refinement of program goals, objectives, and participant services.
- Perform other duties as assigned.

- Commitment to maintaining confidentiality and exercising sound professional judgment.
Education & Experience
- Bachelor's degree in Social Work, Human Services, Psychology, Public Administration, or a related field preferred.
- Equivalent combination of education and relevant experience will be considered.
- Experience working with veterans, military families, low-income populations, or other underserved communities preferred.
- Knowledge of community resources, public benefits, and supportive services.
- Demonstrated ability to work effectively with individuals from diverse cultural, socioeconomic, and military backgrounds.
Additional Requirements
- Valid California driver's license.
- Reliable personal vehicle with current automobile insurance.
- Ability to travel locally for client meetings, community events, trainings, and partner meetings.
- Successful completion of Foundation for Women Warriors onboarding and required communication training.
