We are looking for an Operations & Systems Director who shares that mindset.
This role is not just about building systems. It is about helping manage a high-output client production environment where multiple transactions, timelines, deliverables, and workflows are moving simultaneously.
You will play a central role in ensuring client projects move efficiently, internal teams stay aligned, deliverables are completed on time, and operational standards are consistently maintained across the organization.

What You’ll Own
Production & Client Operations Management
This is a core part of the role.
You will help oversee the operational flow of active client engagements and ensure that projects, deliverables, and internal workflows are progressing according to established SOPs, timelines, and quality standards.
Responsibilities include:
- Monitoring active client workflows and internal production pipelines
- Ensuring tasks, deadlines, and deliverables stay on track
- Coordinating across team members to maintain execution momentum
- Identifying bottlenecks and proactively resolving operational issues
- Maintaining consistency, responsiveness, and quality across client-facing operations
- Helping create operational accountability across the organization
You should be comfortable managing multiple moving pieces simultaneously while maintaining attention to detail and a calm, organized approach under pressure.
Operational Systems & Infrastructure
- Own and optimize the company’s operational stack across ClickUp, Slack, Zapier, GoHighLevel, AI tools, and internal workflows
- Build scalable systems that improve execution, communication, visibility, accountability, and overall client experience
- Create SOPs, dashboards, automations, templates, and reporting frameworks
- Continuously improve workflows and operational efficiency across departments
ClickUp Administration & Workflow Design
You should already be highly proficient in ClickUp.
We are specifically looking for someone who has:
- Built and managed complex ClickUp workspaces
- Designed workflows for cross-functional teams
- Implemented automations, dashboards, templates, dependencies, and reporting systems
- Used ClickUp as a true operational platform, not simply a task tracker
AI & Automation Implementation
We actively leverage AI and automation internally and expect this role to help expand those capabilities.
You should already have practical experience using:
- ChatGPT
- Claude
- Zapier or similar automation platforms
- AI-assisted workflow design
- Prompting frameworks and process automation
Bonus points for experience with:
- AI agents
- Knowledge management systems
- SOP generation workflows
- Internal operational automations
We are looking for someone who understands how to apply AI tools in real operational environments — not just experiment with them casually.
Recruiting & Onboarding Operations
- Own and improve recruiting workflows
- Coordinate candidate pipelines and hiring processes
- Build onboarding systems that help new hires ramp quickly and effectively
- Improve internal documentation and training systems
Executive Operations Support
- Help leadership maintain operational visibility across the organization
- Coordinate internal initiatives and operational follow-through
- Improve communication, accountability, and execution consistency
- Support leadership in maintaining a high-performance operating environment

Requirements
Non-Negotiables
- Advanced ClickUp experience
- Strong operations and/or production management background
- Experience managing workflows, deadlines, and team accountability
- Experience building workflows and automations

Pay: $40.00 - $75.00 per hour
