Role Description The Executive Assistant is a full-time, on-site role based in Greater Boston, supporting senior leadership with high-level administrative and organizational tasks. Day-to-day responsibilities include managing calendars, scheduling meetings, coordinating travel arrangements, and preparing correspondence, presentations, and reports. The role also involves handling expense reports, tracking and organizing documentation, maintaining files, and assisting with project coordination and follow-up. The Executive Assistant will serve as a key point of contact, ensuring clear communication between executives, internal teams, and external partners, while upholding confidentiality and professionalism. This role requires strong attention to detail, proactive problem-solving, and the ability to support multiple priorities in a fast-paced environment.
Qualifications
- Strong Executive Administrative Assistance and Executive Support skills, including calendar management, meeting coordination, and document preparation.
- Experience with Administrative Assistance tasks such as filing, data entry, office organization, and general administrative support.
- Proficiency in preparing and reconciling Expense Reports and handling basic financial and administrative documentation.
- Excellent Communication skills, both written and verbal, with the ability to interact professionally with executives, clients, and vendors.
- Proficiency with office productivity tools (e.g., Microsoft Office or Google Workspace) and comfort learning new systems and software.
- Strong organizational and time-management abilities, with attention to detail and the capacity to manage multiple tasks simultaneously.
- Prior experience as an Executive Assistant or senior-level administrative support professional in a corporate or operations-focused environment preferred.
- High level of integrity, discretion, and reliability, with a commitment to maintaining confidentiality and supporting team success.
