Position Summary:
The PR & Marketing Coordinator plays a dual role supporting both the day-to-day operations of the PR department and the administrative needs of the Chief Marketing Officer and larger marketing team. Working closely with the Vice President of Public Relations, this position serves as a key point of coordination for press logistics, digital asset management, and reporting. This position will also provide essential administrative support including calendar management, travel planning, and event logistics. The ideal candidate is highly organized, a confident writer who communicates with clarity and purpose, and comfortable working in a fast-paced, deadline-driven environment.
PUBLIC RELATIONS & MEDIA
- Draft and distribute a daily email roundup of relevant news to internal teams and PR partners.
- Read and categorize Nashville news coverage using the Cision media monitoring platform.
- Pull timely, relevant media clips for use in internal and external presentations.
- Manage the press image gallery and fulfill b-roll requests from media.
- Create and curate gift bags for incoming media and manage PR department inventory.
- Manage the accolades log and coordinate corresponding content updates on the NCVC website.
PRESS TOUR & ITINERARY MANAGEMENT
- Create detailed itineraries for group and individual press tours using the Travify platform.
- Coordinate logistics and communications related to media visits and hosted press experiences.
REPORTING & ANALYTICS
- Assist with reporting needs for internal, domestic, and international partner reports.
- Collect marketing metrics and project information from department heads for consolidated reports.
- Assist with Nashville Visitors Guide event listings and other digital/print content updates.
MARKETING DEPARTMENT SUPPORT
- Answer general questions about the marketing department and help staff and clients navigate to the appropriate team or resource.
ADMINISTRATIVE SUPPORT (CMO & MARKETING DEPARTMENT)
- Manage the CMO’s calendar, scheduling meetings and coordinating internal and external appointments.
- Prepare and submit expense reports for the CMO and VP of PR.
- Prepare meeting presentations, agendas and take meeting notes.
- Plan and arrange travel logistics for the CMO and department staff as needed.
- Set up meeting rooms, prepare materials, make copies, and provide general office support.
- Coordinate billing and departmental administrative tasks as assigned.
SEASONAL & EVENT SUPPORT
- Assist with administrative duties of the Metro Nashville Major Event Fund Committee (April – June).
- Provide on-site event support for NCVC-produced events including July 4th, New Year’s Eve, and the Music City Walk of Fame Inductee Ceremony.
Qualifications:
EDUCATION & EXPERIENCE
- Bachelor’s degree in either Communications, Public Relations, Marketing, Journalism, or a related field preferred.
- 1–3 years of experience in public relations, marketing coordination, or a similar role.
- Experience in travel, tourism, or hospitality industries a plus.
SKILLS & COMPETENCIES
- Strong written and verbal communication skills with exceptional attention to detail, including the ability to craft clear, compelling content across a variety of formats and audiences.
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Ability to manage multiple projects and priorities simultaneously in a deadline-driven environment, with an instinct for anticipating needs and staying a step ahead for the team.
- Demonstrated discretion and professionalism when handling confidential information.
- Team-oriented with a proactive, solutions-focused mindset and foresight to identify potential challenges before they arise.
Additional Details:
This position is full-time, non-exempt, primarily office-based with occasional evening and weekend hours required for event support (July 4th, New Year’s Eve, and Music City Walk of Fame). Seasonal workload increases are expected April through June in support of the Metro Nashville Major Event Fund Committee.
